Job Summary
This position is responsible for all administrative support functions relevant to the Geriatric Division of Rehab, Geriatrics and Palliative Care Program which includes outpatient Geri Medicine, Inpatient Restorative Care, Home Dementia Program and other related areas.
The primary purpose of this position is to perform a wide range of administrative duties to support the:
1. Division of Geriatrics.
This would include, but is not limited to, responding to inquiries; maintaining waitlists; collecting, verifying and maintaining data to be used internally or by other organizational units; arranging and coordinating meetings; making travel arrangements; booking meeting spaces; completing agendas and taking minutes for program meetings; preparing correspondence, letters, memos, statistical reports and/or complex spreadsheets utilizing a variety of information & technology applications.
2. Division Manager and Clinical Chief/Lead
This would include but is not limited to oversight and scheduling of clerical staff; ensuring provincial clerical standards and NLHS policies relevant to clerical performance and health record maintenance are upheld and routinely evaluated; managing physician calendars related to on-call, consulting services and clinic time; completing all onboarding requests for EMR access and training; maintaining records of staff and physician orientation.
3. Clinical Team including NPs, RNs, other nursing staff and allied health professionals.
This would include maintaining an appropriate supply inventory; completing all payroll functions; managing leave request; ordering supplies and equipment; ensuring adequate clerical support for all clinical activities.
The incumbent reports to the Division Manager for Geriatrics and is expected to operate with minimal supervision.
Since the nature of this work involves managing information that is of an extremely confidential nature, the incumbent is held to a high degree of confidentiality and professionalism.

Job Qualifications
Successful completion of a two-year Office Administration or Business Management program from an approved/recognized college is required.
Minimum of three years of experience within the last five in an administrative role is required.
Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required.
A satisfactory record of work performance and attendance is required.
*Proof of a current office administration program and medical terminology is required. To be considered current, they must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.
** If medical terminology isn't current, a medical terminology test may be administered by the Human Resources Client Services Department.
