Corporate Affairs Coordinator

Description

The College of Physicians and Surgeons of New Brunswick (CPSNB) serves and protects the public by regulating the practice of medicine in the province. With over 20 employees, the CPSNB is currently seeking a Corporate Affairs Coordinator to support the CPSNB's mandate.

Key Responsibilities

Reporting to the Director of Operations, the Corporate Affairs Coordinator provides administrative support to ensure efficient operations within the Office of the CEO and the Operations Department. This is a critical role that supports the CPSNB and all tasks related to meetings of its Council and coordinates strategic planning activities.

Below is an outline of key responsibilities:

  • Work closely with the Registrar to ensure proper procedures and administrative protocols are followed to ensure sufficient support is in place and that Council meetings run smoothly
  • Prepare meeting packages and other documents for meetings of the Council and Executive Committee
  • Manage logistical aspects of Council and Executive Committee meetings; calendar invites, meeting room bookings, AV requirements, catering and attendance lists, etc.
  • Record, compile, transcribe and distribute minutes of Council meetings and follow-up action items
  • Primary point of contact for Council members
  • Support the Council President with administrative duties as required
  • Manage and maintain calendars, coordinate meetings, appointments and travel arrangements for the Registrar
  • Supports the CEO for strategic planning
  • Helps coordinate weekly meetings for CEO with the senior leadership team
  • Develop, prepare and modify documents including presentations, correspondence, reports, drafts memos, emails, etc.
  • Answer phone inquiries using a professional and courteous manner and direct phone inquiries to the appropriate staff members
  • Coordinate responses to incoming general e-mails and faxes
  • Provide input on increasing administrative efficiency within the organization

Required Education and Experience

  • Postsecondary Education or equivalent years of relevant experience
  • Minimum of five (5) years of related administrative experience
  • Any equivalent combination of education, training and experience determined to be acceptable
  • Project management skills would be an asset.

  • Fluently bilingual (English/French)
  • Detail oriented with strong organizational skills
  • Outstanding communication and people skills
  • Excellent editing and proof-reading skills
  • Ability to maintain a calm demeanor during busy or stressful times
  • Ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
  • Ability to manage multiple tasks in a timely manner
  • Team player who can also work independently and take initiative
  • Advanced in using Microsoft B365 and quick study when it comes to a variety of business software
  • Ability to work hard and have fun
