The person in this position is responsible for the complete management of the Company's mail services. This includes sorting, distributing, and scanning internal and external mail, as well as sending regular and special mail. They ensure the quality and timeliness of services while monitoring expenses to stay within allocated budgets. Additionally, they participate in the opening and management of supplier accounts, as well as other related tasks under the responsibility of the Finance department. The person in this position also ensures the proper functioning of mail equipment.

Responsibilities
  • Mail Processing and Distribution: Open, sort, and distribute incoming mail before 9 AM each morning, and ensure scanning and electronic distribution according to established policy.
  • Coordination and Management of Shipments: Ensure the quality of correspondence, respond to requests from employees and the sales force, and monitor budgets allocated for regular and express mail.
  • Handling Faxes and Emails: Manage approximately 100 faxes and 70 emails per day.
  • Finance-Related Tasks: Reconcile various General Ledger accounts, manage suppliers with accounts payable, and perform other administrative tasks under the responsibility of the Finance department.
Qualifications
  • Technical Skills: Use of mail machines (inserter and postage meter) and the scanning machine.
  • Attention to Detail: Ensure the quality of mailings and scanning, with good time management to handle various daily tasks.
  • Teamwork and Service: Ability to collaborate effectively in a group and provide courteous and accurate service, with good organizational skills and accountability to meet deadlines.
  • Proficiency in Microsoft Office: Competence in the main programs of the Microsoft Office suite (Excel, Word, Outlook, and Teams).
  • Experience: Any experience in a similar role would be an asset.
  • On-Site Presence: Work on-site only.
