Horizon Health Network (Horizon) is seeking an individual with autonomy and initiative who will provide high level advice and information on administrative matters to the University, Corporation and learners to join our team as an Administrative Coordinator - Family Medicine. The ideal candidate will play a key role in the planning, coordinating, implementation, and evaluation of training activities, in support of and adherence to the competencies, mission, values, and goals of the Organization and Universities.

Who you are?
You have a worked in an educational and or leadership role for a minimum of 2-3 years. You have experience in medical education, communication, leadership, organizational and the ability to work independently or as a team. You have intermediate knowledge of proficiency level in Microsoft Office applications.
University degree or equivalent combination of education, training and experience.
Written and spoken competence in English is required at an advanced level.
What you will do?
- Manages the development and maintenance of the Family Medicine residency rotation schedules.
- Oversees the development and maintains up-to-date resident files.
- Processes and maintains records of all evaluation tools including but not limited to ITARS, evaluation of service, evaluation of academic activities, direct observation forms, etc.
- Processes payments for educational sessions, conference leave, CME, and travel reimbursements for both faculty and residents.
- Coordinates, together with the parent program, the CaRMS match process for residents recruitment.
- Prepares and maintains databases related to education activities and prepares associated reports, correspondence and submissions as required.
- Assist in the preparation of materials for program accreditation.
- Coordinates and facilitates all educational sessions including ACLS, Journal Clubs, Grand Round Presentations, PEARLS exercises, etc.
- Maintains up-to-date information housed on the CaRMS, University and corporate websites related to the Residency Training Programs.
- Coordinates and maintains record of vacation, conference and other leaves and processes required documentation at the University level.
- Consults with appropriate university and corporate departments on all administrative matters.
- meets regularly with the Site Directors, to discuss routine matters and makes recommendations for improvement.
- Coordinates workshops and unique events including development of program objectives, identification of speakers, coordination of publicity/communications and preparation of summaries and resulting documents for faculty and residents.
- Consult with the Department of Academics Family Medicine, Maritime Doctors, Postgraduate Dean's Office and other relevant individuals and organizations regarding a variety of educational matters.
- Builds collaborative relationships within the Education community, the Department of Family Medicine, the hospital, government, and university.
- Attend meetings, seminars, conferences, or other educational functions relative to the continued and improved operation of the program. Meetings include Family Medicine executive, Family Medicine Cabinet meetings, medical educational meetings, managers meetings, and all site administrator meetings. Travel may be required.
- Receives all correspondence, and inquiries to the Program, including inquiries from International Medical Graduates and responds where appropriate.
- Oversees the management of the Fredericton Administrative staff members, responsible for vacation time, annual performance reviews, communication, and office layouts.
- Assists with the Fredericton Medical Education budget consulting with the Fredericton Site Director as well as the Regional Manager on all budgetary matters including salaries, operations, and rental accommodations.
