The Faculty of Education at Mount Saint Vincent University invites applications for the position of Receptionist.

Responsibilities

The Receptionist is the first point of contact and provides administrative support for the Faculty of Education. The Receptionist reports directly to the Dean of the Faculty of Education. This position is responsible for responding to inquiries, determining the nature of inquiries and triaging appropriately, handling departmental mail, maintaining office equipment and liaising with service providers, and maintaining office supplies. The Receptionist is also responsible for:

  • Receiving and processing part-time faculty applications
  • Processing enquiries (in-person and online) for the Faculty of Education
  • Distributing course evaluations to faculty
  • Booking equipment through IT&S for use of equipment for meetings (conference phone, web camera, digital camera)
  • Arranging meetings, including securing venue and ordering catering.
  • Ordering, distributing and monitoring of materials and resources for the faculty
  • Preparing, recording, and distributing parking permits for Faculty of Education guests
  • Updating the Faculty of Education website
Qualifications

A 2-year Community College diploma in Office or Business Administration or a similar program, with 1 year of related experience is required. An equivalent combination of education and experience will be considered. Previous experience in an academic environment is considered an asset. Strong communication and inter-personal skills are essential. A high level of attention to detail while handling frequent interruptions is also a prerequisite in this position. Proficiency with Excel spreadsheets and web maintenance (e.g. SharePoint) is required. Efficient time management and priority setting skills are also required. Supporting all of these skills is a strong commitment to excellent customer services. Candidates should be proficient in the use of Microsoft Office Suite, and previous experience, using business enterprise systems such as Colleague, Banner, PeopleSoft, etc.
