DEPARTMENT OF HUMANITIES AND LANGUAGES
The Department of Humanities and Languages is a small, tight-knit academic community that nurtures and inspires students through vigorous debate and hands-on teaching. This multi-disciplinary department offers programs in English literature, French and Spanish languages and literatures, philosophy, gender studies, and world literature, as well as broad interest courses in humanities such as effective writing, Black studies, and art history.

Salary Range: $20.92 - $25.14 per hour
YOUR FOCUS
Reporting to the Chair of the Department of Humanities and Languages, the Administrative Assistant PL4 is responsible for providing the day-to-day administrative functions of the Department. This position is responsible for monitoring budgets, as well as financial and confidential files.
- Provide administrative support for employment and payment of all student hires.
- Collaborate with the Chair to prepare ads for sessional faculty and instructors.
- Complete paperwork, request computer access, and assist with orientation for new faculty and instructors.
- Work collaboratively for the timely submission of timetables, student prizes, grants, and scholarship nominations.
- Assist the department with preparing the annual timetables. Review the UNB calendar copy for accuracy.
- Manage course waitlists (i.e., control waitlists for department courses).
- Assist with preparing materials for departmental program curriculum. Coordinate textbook orders and requests.
- Maintain course outlines from all members of the department.
- Coordinate student opinion surveys and Quality Assurance Reviews.
- Provide administrative support to the Chair, department members, and various committees. Prepare departmental paperwork.
- Administer the departmental operating budget and departmental accounts. Review, analyze, and correct any budget anomalies.
- Order general office equipment and supplies for members for offices and classroom teaching.
- Assist faculty members with the development and submission of research grant applications.
- Monitor budgets for grants and professional development accounts, Student Work grants, and summer student programs.
- Act as the point of contact for students, faculty members, the university community, general public, and suppliers.
- Develop and maintain paper and electronic filing systems.
- Monitor and facilitate updates to the department's website.
- Deliver/retrieve daily departmental mail and distribute it to department members.
- Update and prepare mailings of department information and maintain office bulletin boards.
- Other duties within the Department as assigned by the Department Chair and/or Dean.
WHAT YOU BRING
- Post-secondary diploma in office administration or business.
- Minimum 3 years of general secretarial and administrative experience in an office environment.
- Minimum 1 year of related experience.
Additional Strengths
- University degree is an asset.
- High degree of proficiency with various MS Office Suite programs.
- Working knowledge of Acrobat Professional and Content Management Systems.
- Experience with social media.
- Experience with Ellucian products is an asset.
- Ability to learn new software.
- Ability to deal tactfully and respectfully with faculty, staff, and students.
- Understanding of and ability to maintain confidentiality.
- Demonstrated skills in problem-solving, analysis, and consultation.
- Ability to handle parallel priorities and projects..
- Demonstrated skill in interpreting and communicating policies and procedures.
