Job Title: Payroll Specialist
Location: St. John's, NL
Working Hours: Monday to Friday, 9:00 am to 5:00 pm (Occasional evening and weekend work may be required)
Our client is seeking a highly motivated and detail-oriented Payroll Specialist to manage and oversee payroll operations, ensuring the timely and accurate compensation of employees. This role is crucial in maintaining compliance with payroll regulations and supporting the integrity of the organization's operations. The ideal candidate will bring experience in payroll systems, T4 filings, and Record of Employment (ROE) preparation, contributing to the organization's commitment to excellence and accountability.
As a Payroll Specialist, you will be responsible for the full-cycle payroll process, ensuring compliance with relevant legislation, and maintaining accurate payroll records. Additional responsibilities include preparing and submitting documentation such as T4s and ROEs, addressing payroll inquiries, and supporting audits or compliance reviews. This position is vital in maintaining employee trust and ensuring smooth operations within the organization.
Key Responsibilities:
* Process payroll for all employees accurately and on time, including regular wages, bonuses, and deductions.
* Prepare and assemble detailed reports on company earnings, taxes, deductions, leave, disability payments, and non-taxable wages.
* Ensure that payroll databases reflect accurate employee information, including salaries, hourly wages, benefits, and pension contributions.
* Complete Employment Insurance (EI), Canada Pension Plan (CPP), and other remittances for each payroll cycle.
* Prepare and issue T4s, ROEs, and other required documentation in accordance with federal and provincial regulations.
* Stay current on payroll legislation to ensure compliance with tax laws, employment standards, and reporting requirements.
* Maintain up-to-date employee payroll records, including tax forms, benefits, and direct deposit details.
* Address and resolve payroll discrepancies and respond to employee inquiries in a timely manner.
* Generate and analyze payroll reports for both internal use and government submissions.
* Monitor and analyze payroll-related expenses to assist with cost forecasting and budget preparation.
* Collaborate closely with HR and Finance teams to ensure the efficient processing of payroll and accurate data exchange.
* Work with cross-functional teams to ensure seamless delivery of payroll and benefits services.
* Utilize payroll software to streamline payroll processes and improve operational efficiency.
Qualifications & Skills:
* Proven experience in payroll processing, including the preparation of T4s and ROEs.
* Strong computer skills, with experience using Simply Accounting (Sage 50) and Microsoft Office Suite.
* In-depth knowledge of the full payroll cycle and payroll regulations.
* Thorough understanding of employment standards, tax compliance, and payroll-related legislation.
* Exceptional attention to detail, organizational skills, and ability to work in a fast-paced, dynamic environment.
* Proven ability to handle sensitive information with the utmost confidentiality and discretion.
* Experience working in a unionized environment is an asset.
* Certification in payroll administration (e.g., PCP or CPM from the Canadian Payroll Association) or actively working towards certification is highly desirable.
* Successful completion of a Criminal Record Screening and Vulnerable Sector Check is required.
