The Office of the Registrar provides front-line client service support to our academic community, current and former students as well as alumni. The Office of the Registrar is a core service unit that supports the academic mission of the university.

Salary Range: $25.28 - $29.92 per hour
YOUR FOCUS
Reporting to the Associate Registrar - Records and Registration Services, the Student Support Officer (Clerk PL5) is responsible for providing front-line customer service in our service center. As a central service hub to support students, faculty, staff and alumni, this position assists with all front-line responsibilities and various administrative functions.
- Perform main reception and e-mail inquiry duties of the Registrar Office.
- Provide customer service to students and other members of the public and university community by telephone, email and walk-in requests.
- Provide accurate information and assist students in the use of the Student Planning & Registration system.
- Process government documentation for students (CPP Declaration, Disability Benefits, E.I., exchange programs, etc.).
- Maintain student information system (Colleague) with respect to registration and updates on student records.
- Draft and issue confirmation of enrollment letters, educational trust fund letters, and graduation confirmation letters and special request letters.
- Assist with admin support for certificates.
- Process employment hire checks by organizations and letters of permission or off-campus study requests.
- Process both incoming and outgoing mail and process courier requests.
- Assist with diploma replacements, certified true copies of diplomas and the coordination of pickups.
- Conduct file audit as part of document retention processes.
- Update student records- pulling inactive files from current student files, preparing & scanning files.
- Assist with special projects and events throughout academic year such as Graduation.
- Process variety of tasks related to transcript processing that includes the management of orders, payments, transcript production, transcript delivery (mail, courier, fax, in-person pick-ups) and manage ongoing client inquiries.
- Coordinate external transcript requests (accreditation agencies, funding agencies, law firms, etc.) and confirm student consent with respect to disclosure of confidential academic record information.
- Provide administrative support to the Records & Registration unit.
- Perform various duties as operationally needed supporting areas like grading, academic appeals, deferred exams and record processing and provide other related duties as operationally required.
WHAT YOU BRING
- Undergraduate degree or Office Administration training.
- 5 years of customer service work experience in a team-oriented environment.
- An equivalent combination of training and experience may be considered.

- High attention to detail to collect, document and record information while adhering to strict deadlines.
- Ability to work effectively and accurately under pressure of high-volume transactions and frequent interruptions.
- Strong ability to multi-task and organize work priorities.
- Strong verbal and written communication skills.
- Strong technical proficiency - Microsoft 365 Suite.
- Experience with Colleague UI or other database management systems, Footprints and Adobe preferred.
