The EA will oversee and streamline the daily operations of the office of the Mayor and Chief Administrative Officer, ensuring a smooth, well-coordinated environment. In this key role, you will report to the Chief Administrative Officer, and be responsible for managing office procedures, supporting staff, and ensuring effective communication across departments. In this role responsibilities will include:

  • Interacting daily with the public, Mayor, CAO, members of City Council, media, senior management and City staff. Researching, drafting correspondence, preparing reports and handling highly confidential and sensitive information.
  • Supporting the Legislation and CAO budgets, cash flow projections and budget transfer requests.
  • Managing the CAO and Mayor's office operations to ensure smooth functioning and staffing during absences.
  • Providing administrative support for the divisions under the CAO's office, including Organizational Development and Strategy, Corporate Communications and First Nations Relations.
  • Drafting correspondences and preparing remarks/ briefing notes for the Mayor, CAO, and Deputy CAO. Exercising superior judgement in composing correspondence.
  • Coordinating and analyzing information from senior staff and government agencies to appropriately respond to inquiries from members of Government at all levels, and internal Departments.
  • Chairing and taking minutes of the weekly Mayor/CAO meetings.
  • Maintaining effective working relationships with the public, City Council, government officials, business leaders, media, senior management, and staff.
  • Assisting with special projects, and additional meetings as needed.
  • Exercising initiative and judgement in public interactions. Occasional nights and weekends may be required.

The ideal candidate will have:

  • Ability to represent the Office of the Mayor and CAO professionally and work independently with exceptional communication skills.
  • Post-secondary education with a minimum of 5 years in a senior executive administrative position.
  • Certificate courses in public administration, and/or municipal government or related fields considered an asset.
  • Organized, self driven, detail oriented, and able to contribute to team success.
  • Thorough knowledge of the City operations and departmental functions.
  • Skilled in meeting and conference planning logistics.
  • Strong political acumen required.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Able to identify issues and develop strategies for resolution.
