Information Technology Administrative Coordinator

The Information Technology Administrative Coordinator (ITAC) is responsible for preparing and analyzing the Information Technology and Security (ITS) administrative, capital, and project budgets, providing support and training for staff and external consultants on various types of office equipment, and generating financial and statistical reports.

The ITAC offers administrative support to the Director of Information Technology and Security.

Role Responsibilities

  • Provides non-technical support services for multi-functional digital equipment, fax, copy, scanners, and related office equipment. This includes supervising vendor repairs, analyzing routine problems, understanding office equipment terminology, and coordinating remedial actions.
  • Responsibilities for preparing the ITS administrative budget. This includes setting up and attending meetings with user departments to review budget requirements, contacting vendors for pricing quotes, and developing accurate spreadsheets.
  • Assists with the Capital Budget and Project Budget by reconciling the accounts through the Oracle Fusion system and ensuring that the correct cost has been charged to the various accounts. Discrepancies are corrected and reported.
  • Responsibilities for coding accounts relating to the Administrative Budget, Capital Budget and Projects. You will reconcile, generate and distribute reports on a regular basis for the ITS Management review. You will review financial statements for accuracy of invoices and financial information for the ITS Department and makes any recommendations that are needed.
  • Prepares and analyzes statistical reports on mobility accounts and services, including telephone, cellular usage, administration, project costs, and call logs. Compile information, flag abnormalities, and provide recommendations for airtime package adjustments based on usage analysis. Accurate reporting to management is crucial for effective client services.

Essential Skills and Qualifications

  • Two-year Business Administrative Diploma supplemented by an accounting certificate or diploma.
  • Must have a working knowledge of Accounting Software.
  • Exposure to e-mail and calendar systems such as Microsoft Office and office equipment is essential.
  • Must possess good analytical skills to resolve problems.
  • Excellent oral and written communication, organization and time management skills.
  • Other duties as assigned.
