Job Title: Full Time Permanent Administrative Assistant - Finance Department

Location of position: Corner Brook

Hours of Work: 35 hours per week, Monday to Friday, 9:00 am to 4:00 pm

Salary: $34,000 per annum

Job Description and Responsibilities: The Administrative Assistant will be responsible to provide administrative support to the Director of Finance, the Manager of Finance & the Finance Department Staff. Duties include but are not limited to:

• Sort and manage incoming/outgoing communications for the Director and other members of the department

• Manage activities that maintain the operations of the department

• Code, file, and manage material according to the established procedures

• Provide secretarial and administrative support to the Director and staff of the department

• Make travel, meeting and other arrangements for the Director and staff as required

• Coordinate the maintenance of the department's office equipment

• Use of word processing, spreadsheets and software to prepare reports, memos and documents

• Provide relief to Reception

• Assist with the planning of event logistics, including organizing and maintaining event registration

• Record and prepare minutes for standing committee and other formal meetings

• Enter purchase requisition and manage purchase orders using Sage Intact accounting system

• Assist with the recording, Sage Intacct data entry, and other accounting processes

• Assist with departmental workflow processes, document management, and project management

• Perform other related duties as required

Qualifications:

The successful applicant will demonstrate strong analytical capabilities, effective writing skills and demonstrate strong interpersonal and communication abilities. Knowledge of word processing, databases, and spreadsheets, with proficiency in the operation of computers, voice messaging systems and other office equipment is required.

Education: Completion of a post-secondary education in Office Administration, Business Administration, or other related field.

Experience: Two years of experience working in a professional office-based environment.

Working Conditions: This position is office based. The duties are predominantly met during regular business hours. Some overtime work and travel will be required at specific times throughout the year.

Employee Benefits:

Annual Leave: Three weeks per year.

Statutory and Non-Statutory Holidays: Employees are entitled to 13 days off to cover Statutory and Non-statutory holidays per year.

Summer Office Hours: Office hours during the summer months are from 8:30 am to 4:00 pm Monday to Thursday, Friday 8:30 am to 12:30 pm. The schedule starts the first long weekend in May and continues until the last week of September.

Christmas Break: the office closes down during the Christmas break; this is an added bonus that employees are entitled to.

Family & Medical Leave: Twelve paid sick and family medical days per year.

Under 2 hours Medical Appointment: Employees may attend an appointment of less than 2 hours with no deductions to Sick and Family Medical.

Benefits Plan: Option to enrol in the Chamber of Commerce benefits plan

Registered Pension Plan: QFN has a pension plan, FT employees may contribute from 4 to 7% of their gross wages . Employee contributions are matched by the Band.

Discretionary Bereavement: One day off per year for the death of a relative not included as immediate family, a close friend or neighbour.

Volunteer Program: Employees may volunteer outside of the organization up to 21 hours per year.
