Name and description of the hiring department
The Field Services Recognition and Engagement team is seeking a detail oriented, and organized Associate – Data Analyst. The candidate will support the team in coordinating and facilitating engagement events, and national ticketing activities. They will also be responsible for supporting recognition programs by tracking the budget, creating accurate payout files and submitting them in time to ensure payout for winners. The Associate ensures that service is provided to customers on a timely basis. The Associate will provide ad hoc support, maintain and update several tools, as well as prepare statistical and tracking reports. They will also be expected to help coordinate and facilitate in-person events.

Job Duties / Accountabilities

Prime for all of Field sponsorship and the national ticketing tool. Manage ticket allocations and tracking
Ensure that all ticketing timelines are met. Including, management of ticketing requests, submission of attendee information, food and beverage orders, expense reports, and other communications
Manage quarterly recognition program. Create accurate payout files, submit by deadline to finance
Review and update the recognition websites to ensure accurate and up to date information
Coordinate and facilitate in-person and virtual events, such as Community Day, Lunch&Learns, socials, and team building activities
Manage Career Zone Administration by creating courses in both languages, pulling attendee lists, and closing out scheduled offerings in a timely manner
Responsible for communicating to stakeholders - build weekly, monthly and quarterly communications. Provide assistance with administrative questions
Accurate translation of documentation to ensure translated texts conveys original meaning and tone, and industry-specific terminology
Create and maintain templates, and reference material for various programs and tools
Track and manage budget (YTD, Quarterly, Monthly, Weekly)
Create, summarize, and analyze reports and surveys. Make recommendations to achieve optimal results and interim solutions if applicable
Facilitate the implementation and delivery of system tools, services and applications such as the ticketing tool, Career Zone, Webex, HR SAP, and My Reservation booking tool

Essential Qualifications / Competencies

Knowledge of English and French required as in the course of their duties, this person will be required to interact with French & English speaking stakeholders across Canada
Detail-oriented
Ability to work with minimum supervision and in a virtual team setting
Excellent organizational skills and ability to handle multiple inquiries/requests based on their respective priorities
Intermediate PC skills (MS Office – Excel, Word, PowerPoint, Outlook)
Excellent time management and planning skills
Strong interpersonal skills with the ability to interact with clients of all levels in a confident, courteous and professional manner
Ability to communicate effectively via various mediums to internal and external stakeholders


Preferred Qualifications / Competencies
University or College diploma in Business/Office Administration or equivalent work experience with a high school diploma
Project management experience
Experience in data entry, and record maintenance
Knowledgeable in Career Zone Learning Administration Tool
HR SAP, My Reservation booking tool

Working Details

Availability from Monday to Friday during business hours
Roles in this program in Quebec involve serving customers and/or internal clients in both English and French, working on national level projects, and collaborating with teams in both English and French speaking regions of Canada. French and English fluency is required for roles in this program in Quebec.
