The Role
As part of a dynamic team within Scotiabank's Real Estate Department, the Manager, Architectural Standards and Specifications, is responsible for working with Real Estate Groups to understand and contribute to the development of Scotiabank's Project Delivery processes from an Architectural perspective. The role also requires the development and maintenance of design tools and resources, the verification of all domestic construction documentation, to uphold and communicate the Bank's standards at a nationwide branch network scale. The individual requires an intimate knowledge of the National Building Code, deep and detailed knowledge of project delivery types, architectural communication and documentation skills, and versed in construction methods and processes. The incumbent is responsible for researching, developing, prototyping and recommending details for the ongoing development of Bank design initiatives within a team environment.

Is this role right for you? In this role, you will:

  • Schematic Design:
    • Develop and maintain Bank Project Delivery documents and packages for domestic branches for the use of developers, landlords, external partners, consultants and general contractors to ensure projects are coordinated and executed to the Bank's standards and initiatives in an efficient and economical manner.
    • Reviewing and amending Developer and Landlord related documentation (Schedule C) to ensure that branch design and construction scope and responsibilities are clearly outlined and coordinated between Landlord and Tenant related work, and to maintain and communicate the most current Bank's design standards.
    • Organize and prepare standards packages including design tools and resource documentation for the use of consultants, general contractors and vendors that outline and delineate the responsibility between parties to ensure timely coordinated work.
  • Design Development / Standardization:
    • Develop and maintain Bank Design Tools and Resources
    • Develop and maintain Bank Lookbooks (Architectural, Graphic / Signage, Accessibility) that clearly illustrate the Bank's brand and experience initiatives through Architectural visual communication.
    • Develop and maintain Bank Standards through architectural detailing that clearly demonstrate design intent and the delineation of responsibility at a contract document level quality.
    • Oversee, coordinate and maintain Bank Standard Specifications in six-digit CSI MasterFormat
    • Develop and maintain scheduling for Bank supplied / performed work, including but not limited to: Millwork, Finishes, Furniture, Fixtures and Equipment
    • Review, record and maintain technical documentation and shop drawings prepared by Bank partners and vendors for supplied items / work.
    • Liaise and coordinate with Bank partners and vendors to ensure specified items and work continue to fulfill the Bank's initiatives and expectations (substituting discontinued products, finding economies of scale opportunities, etc.).
    • Organize and maintain digital and physical libraries for all Bank Design Tools and Resources for both internal and external use.
    • Participate in Bank related RFP's for Bank supplied work by providing Bank standard requirements to procurement team and by reviewing proponent qualification, documentation, mock-ups to ensure conformity to the Bank's design initiatives and requirements.
    • Prepare Design Bulletin communications to inform related teams and groups of any changes to design standards.
    • Co-host monthly Design / Project Management collaboration meetings to advocate and facilitate constructive conversation and coordination between both teams.
  • Research and Development:
    • Maintain knowledge of current design trends in general, and at retail and financial institution levels through research, education and vendor liaising to ensure that the Bank's initiatives are current to the marketplace.
    • Research and develop innovative and creative design solutions for atypical design problems to maintain the Bank's design initiatives by leveraging and overseeing collaboration with Bank partners, consultants, and vendors. Design competition reviews of other Financial Institutions design trends, use of technology and materials.
    • Researching opportunities of scale while upholding the Bank's design initiatives.
    • Carry-out special projects by researching, developing, and preparing recommendations to Senior Management as assigned by the Vice President, and/or the Global Design Director.
  • Contract Documents:
    • Review a high volume of Contract Documents (drawings and specifications) for all bank retail projects to ensure:
      • They are accurate relative to the Bank's defined scope of work,
      • They satisfy bank standards in reference to the Bank's design tools and resources.
      • They delineate and are coordinated with Bank supplied work and requirements.
      • They are in general conformity to applicable codes and by-laws.
    • Provide ad-hoc support to design, project management and consultant teams to clarify any project specific items.
  • Contract Administration / Construction:
    • Provide ad-hoc support to design, project management, consultant and general contractor teams to reply to any project specific construction RFI's in a timely manner.
    • Provide critical technical information to consultant and contractor teams as required.
    • Review project specific contractor submittals (product info, technical documentation, shop drawings) to ensure conformity to Bank standards
    • Review project specific product substitutions to ensure conformity to Bank standards.
    • Conduct periodic site reviews (as required) to ensure general conformity to contract documents and Bank standards.
    • Responsible for overseeing the management of external consultants, ensuring they meet the organization's standards and project requirements. This role involves conducting thorough evaluations of consultants' performance, providing constructive feedback, and ensuring alignment with project goals. You will also be tasked with organizing and leading debriefing sessions to review project outcomes, identify areas for improvement, and implement best practices.
  • Sustainability:
    • Sustainability Committee – Design Representative
    • Attend quarterly Sustainability meetings to understand the Bank's global sustainability initiatives and goals.
    • Understand GBI's Green Globes Certificate program and utilize its system to execute the Bank's global sustainability initiatives by leveraging their strategies into design decision making and incorporating them into the Bank's standards.

Do you have the skills that will enable you to succeed in this role? – We'd love to work with you if you have:

  • A minimum of 7-10 years of full-scope architectural professional experience is a requirement.
  • Excellent architectural design skills, including expert knowledge of CAD and 3D rendering and presentation skills.
  • Extensive knowledge of construction and building systems.
  • Knowledge and understanding of the Bank's strategic direction in real estate matters, Bank policies and procedures.
  • Intimate knowledge of the National Building Code
  • Strong communicating (visual, written, and verbal), negotiation and conflict resolution skills; ability to provide on the spot direction in a clear and concise manner.
  • Strong problem solving, quantitative analysis skills and project management expertise.
  • Strong time management skills in completing multiple tasks within critical time frames
  • Strong interpersonal, team building and networking skills; able to maintain network of internal interdepartmental contacts and external consultants and suppliers.
  • High degree of flexibility and able to work comfortably within a team environment, willing to share knowledge and ideas, and display initiative since autonomy and leadership is expected.
