Logistics Technician (Clerk III)
Definition of work:
This position is responsible for the ordering of supplies and equipment, establishing and coordinating a preventative maintenance schedule for ambulance vehicles and equipment. This position works with a high degree of independence and must be able to prioritize and multitask. Performs clerical and administrative work in support of the organizational unit to which the employee is assigned. Work includes preparing a variety of correspondence and reports; reading and distributing incoming mail; preparing requisitions for services; assisting with payroll clerical functions; assisting with the completion of applications etc., providing front-line counter service and processing travel claims.
Required Qualifications:
- Graduation from High School with a diploma recognized by the Newfoundland and Labrador Department of Education and Early Childhood Development;
- Minimum: 1-2 Year post-secondary Diploma in Office Administration;
- A valid Class 5 driver's license issued by the Province of Newfoundland and Labrador. Class 4 required within 3 months of employment;
- A current Driver's Abstract from Motor Vehicle Registration;
- Knowledge of methods, policies and procedures of the program area;
- A satisfactory record of work performance and attendance is required for this position;
- A satisfactory Certificate of Conduct from the RCMP or local police authority;
- Computer Skills and experience in Microsoft applications such as Excel and Word;
- A typing speed of 40 wpm is required;
- Successful completion of a Medical Terminology course;
Accountabilities: The Incumbent shall:
- Order supplies and equipment for the Paramedicine and Medical Transport Program;
- Arrange for service broken ambulance equipment as needed or as trained;
- Coordinate with Biomedical to ensure servicing of all medical equipment required to be checked by Biomedical;
- Establish and maintain a supply log for all ambulances and stations;
- Ensure ambulance inspections are completed as required- both Commercial Vehicle Inspections and Motor Registration Inspections;
- Ensure completed inspections are forwarded to the proper agencies/personnel;
- Coordinate and track repairs/ preventative maintenance program for Ambulance vehicles;
- Shuttle ambulances and other PMT vehicles to and from service centers as required;
- Cleaning and stocking of ambulances/spares as required;
- Coordinate uniform sizing and ordering for all Paramedicine Staff;
- Retrieval of equipment from local ERs as required;
- Order and provide equipment/supplies for Private and Community Operators;
- Prepare electronic documents for distribution;
- Track capital equipment; complete requests for replacement equipment as required;
- Work with Provincial Registrar to ensure all emergency vehicles are registered and authorized;
- Other duties as assigned by Manager or Operations Supervisor;
- Reports all workplace incidents/close calls using appropriate occurrence reporting tools;
- Follow all applicable OHS guidelines/Safe Work/Practices/Policies;
- Reviews and follows emergency procedures and precautions;
- Follow all IPAC policies and standards;
- Demonstrate effective respectful workplace behavior;
- Performs clerical and administrative tasks in support of the organizational unit such as responding to inquiries, assisting other staff members and maintaining supplies;
- Records the work of the unit daily and invoices and/or records materials/stock items used while maintaining inventory levels of a stockroom;
- A range of interpersonal skills are used such as listening, asking questions, providing information and direction and gaining the co-operation of others to complete work assignments;
- Interactions are typically with a variety of people both internal and external to the organization including clients/general public and suppliers;
- Occasionally is required to lift files, supplies, etc. weigh not exceeding 40 lbs;
- Constantly required to perform fine finger/precision work while sitting and using a computer mouse to type and enter data;
- Work provides the opportunity to occasionally stand and walk within the office environment;
- Occasionally required to bend, stretch, etc to retrieve and return files;
- Visual concentration is constant and includes recording and inputting data, i.e. requisitions), ensuring databases are correct and checking for accuracy on reports;
- Auditory concentration may include listening to information provided by customers/clients and employees and listening to requests via the telephone/radio and receiving direction from supervisor/manager;
- May be subject to deadlines and time pressures when producing reports and supplying information. May be subject to daily interruptions for inquiries;
- Functions with considerable independence while completing work assignments but within established policies and procedures and are subject to general evaluation of results by supervisor/manager;
- May be required to provide orientation to new employees and feedback to colleagues;
