POSITION: OFFICE MANAGER

About the Role:

The Office Manager will be an energetic professional who enjoys wearing multiple hats. They will be experienced in handling a wide range of administrative, financial, and executive support-related tasks and must be able to work independently with little supervision. They will be well organized and flexible, and will enjoy the administrative challenges of supporting an organization of diverse people.

Responsibilities:

Financial

  • Manage accounts payable and receivable
  • Ensure all financial procedures follow approved policies
  • Maintain all bookkeeping records via QuickBooks
  • Manage petty cash
  • Monitor credit cards and bank accounts
  • Assist with annual budgeting
  • Assist with development of financial reports
  • Assist with payroll processing
  • Ensure compliance with Workplace NL

Staffing

  • Manage personnel files
  • Track employee leave
  • Provide administrative assistance for management of group benefits and GRSP
  • Assist with recruitment and training as needed
  • Assist with coordination of professional development and travel
  • Assist with staff onboarding/off-boarding

Office Management and Administration

  • Ensure secure filing of all EHSJ documents with attention to confidentiality
  • Coordinate meetings, training, and other events, including booking internal meeting spaces and external venues
  • Ensure office supplies are stocked
  • Prepare meeting agendas and minutes
  • Participate actively in EHSJ events and activities
  • Manage capital assets
  • Establish and maintain professional relationships with vendors and suppliers
  • Support procurement and purchasing activities and managing inventory
  • Lead Occupational Health and Safety activities and consult with staff on workplace safety

Qualifications:

  • High school diploma supplemented by a minimum two-year Business Office Administration program or diploma/degree in a related field
  • Three (3) years of related work experience in an administrative support role of similar complexity and accountability
  • Ability to multi-task and prioritize deadlines
  • Knowledge of and commitment to the work and values of End Homelessness St. John's
  • Criminal record and vulnerable sector check

Selection Criteria:

  • Proven office management, administrative, or assistant experience
  • Knowledge of bookkeeping and accounting practices
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in QuickBooks and MS Office suite
  • Excellent client service, interpersonal, and communication skills

Employment Conditions:

All applicants MUST be able to provide a current Royal Newfoundland Constabulary Criminal Record Screening Certificate and Vulnerable Sector Check

How to Apply

This position provides competitive salary and benefits plan, including health, dental and RRSP contributions. The salary is commensurate with experience but will start at $55,000 per year.
