Summary

Reporting to Director, IT Delivery, we are seeking an organized and efficient Administrative Assistant to provide comprehensive support to a group of Directors. This role requires a proactive individual with excellent communication and interpersonal skills, capable of managing multiple priorities and working independently within a fast-paced environment. The ideal candidate will possess strong administrative and organizational skills, a high level of discretion, and the ability to anticipate needs and proactively address them.

Key Responsibilities

• Provide general administrative support to IT teams and liaise with management teams
• Managing online forms and portals relating to finance and HR
• Setting up new staff, inputting vacation into the portal, and managing absences
• Plan, organize and coordinate meetings, conference/videoconference calls and events
• Make travel arrangements and reservations
• Manage orders for office supplies, and other items as required
• Serve as the point of contact between stakeholders, employees, and external parties. Handle information requests and relay messages accurately.
• Input and update information into company databases and maintain accurate records.
• Handle sensitive information with discretion and maintain confidentiality at all times.
• Assist the team with ad hoc requests

Critical Qualifications

• Strong organizational skills, self motivation and able to handle multiple demands by prioritizing effectively
• Excellent oral and written communication skills
• Demonstrate ability for team work, working under pressure and respecting deadlines
• Demonstrate ability to maintain strict confidentiality
• Keen attention to detail and ability to work autonomously
• Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent aptitude for interpersonal relations combined with an ability to interact with senior management and other team members in a professional and efficient manner
• Previous experience as an Administrative Assistant or in a similar role is an asset
• Fluent in French is an asset, but not required as this person will interact with French & English speaking stakeholders across Canada
