Basic Purpose of Position:

Provide confidential administrative Support to General Manager for MRO Maintenance Repair/Overhaul Ops.

Key Responsibilities:

  • Provide confidential administrative Support to General Manager for MRO Maintenance Repair/Overhaul Ops.
  • Build and administer the online web schedule for 300+ union employees
  • Timekeeping for all union employees in UKG WFC (work force central platform) to include creating and maintaining schedules, entering exceptions, like sick, personal day, STD, LTD etc.
  • First tier support for iPads issues, including updating MSM and Air watch with device repairs, issuing and returning of devices.
  • Setup iPads training for new employees
  • Co-ordinate and responsible for onboarding and offboarding of new employees. Coordination of all paperwork and information for new hires.
  • Responsible for execution and monitoring of Jazz Maintenance crew bid system for Stat declarations, shift bids and vacation bids each year.
  • Monitor and update union pay increases, approving expense meal per diem
  • First point of contact for maintenance inquiries and information relating to JTS (Jazz Technical Services) department.
  • Maintain and procure office supplies and monitor expenses/costs.
  • Responsible for Send Word Now call outs (platform used for calling in for overtime) during office hours.
  • Organize Service Awards Celebration for JTS employees
  • Ensure all requirements of the collective agreement are applied when processing payroll.
  • Maintain, co-ordinate the flow of information for: AWP (Attendance Wellness Program), CAP (Culpable Attendance), Probation and Grievances.
  • Delegate for signing security forms and holder of visitor passes.
  • Perform document control duties.
  • Creating and maintaining employees' personnel files.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
  • Adhoc projects/tasks and other related duties as assigned.

Qualifications:

  • Post-Secondary education or previous clerical experience is required.
  • Minimum 3-4 years of experience working in an office environment.
  • Candidate must be proficient in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint.
  • Candidate must be proficient working in internet/intranet and network environment.
  • Candidate must be well organized, manage time effectively, prioritize multiple tasks and meet deadlines.
  • Knowledge of Maintenance environment and airline operational experience will be considered an asset.
  • Must have the ability to obtain a Restricted Area Identification Card (RAIC).
