Overview
As the Donor Support person, you'll be working as part of our Development team, supporting your colleagues by updating and maintaining accurate records in our database, working closely with the finance department to ensure complete, timely and accurate processing of gifts and payments, executing gift acknowledgment protocol, and providing fundraisers with accurate reports. This position is critical to the effective functioning of our organization.
Responsibilities and Duties
In this role, your responsibilities may include but are not limited to:
- Manage incoming phone, mail, email, and online communications and other donor services as required
- Manage and process incoming gifts, pledges and payments (mail, online, and event) in a timely and accurate manner
- Supporting the Donor Engagement Specialist as required for pre and post event detail management

- Data entry, data maintenance and filing for historical backup
- Coordinating thanks and acknowledgement in collaboration with other Development staff
- Generating reports from database for mailings and analysis
- Assist in researching, entering, and maintain accurate information in CRM
- Assist in shipping and mailing of materials and other administrative tasks as needed
- Invoice & process payments; tax receipting; accounts receivable follow-up
- Balance revenues within databases and prepare documentation for financial audits
- Data entry and financial batch processing for events, memberships and annual giving
- Compile, extract, and check data, work with contractors on tasks including printing, assembly, mailing of print-based materials

Attention to Detail - Accuracy of data input required for maintaining donor records, preparing for audit, financial processing.
Ability to work independently while maintain team relationships - You enjoy working independently with routine tasks that require high accuracy, data and numbers. Work with Finance department to ensure technical accuracy of data input. Support Development colleagues and others as needed.
Proactive and organized approach - Ability to organize workload and establish priorities; anticipate hurdles and adjust while accomplishing detailed procedures.
Shows initiative and being action oriented - Requires fast paced work at times, open to continuous learning, enthusiasm, and flexibility and dependability.
Job specific experience and skills that will help you in this role include:
- Excellent communication skills in English (written and verbal)
- Strong skills in Microsoft Word, Excel, Outlook
- Experience with Blackbaud Non-Profit Software (Raisers Edge and RE NXT, Financial Edge) or other database programs an asset
- Experience with data integration, data cleaning, data mapping, and data migration an asset
- Knowledge of Canadian and US charity rules regarding donations an asset
- Adobe Acrobat
- Familiarity with online collaboration and cloud computing tools (Zoom, Teams, Office 365, Acrobat)
- Skill in recognizing patterns, trends, performing research, queries and creating reports
- Comfort processing payments and administering payment platforms such as Stripe
Education and Experience: The above would normally be acquired through the completion of a post-secondary program coupled with previous experience in a similar position. We know however that competence and skill can come from a diversity of experiences, including volunteer. An equivalent combination of education, background and experience will be considered. Compensation: Pay Band 2, $38,000 to $57,000. ASF offers a competitive benefits package including RRSP, vacation and sick leave, and generous health coverage, as well as professional development opportunities.
