Job Description
The Site Supervisor is tasked with running the site and the operations of the site to the specifications laid out by the Client Service Manager (CSM), the client and the policies and procedures of Paladin Security. The Site Supervisor is also to foster a safe and energetic work environment for their team and to ensure their own duties and objectives are fulfilled.
The Site Supervisor is responsible for the direct supervision and monitoring of all security related duties for their Site which they are in charge of. They are to ensure that all security operations are adhered to and that policies and procedures of both the client and Paladin Security Group are followed. You are responsible for all aspects of Paladin's day to day business at your site; you are the frontline representative and extension of the Paladin Management Team.
As a Paladin Supervisor you're expected to assist with the continued development of all officers working at your site as well as the enforcement and development of new and existing policies and procedures. You should ensure that all paperwork (ex. DARs, Incident Reports, Vacation Requests, etc.) is completed in full and to the standards expected by Paladin and our Clients. You are expected to investigate all issues/complaints brought forward to you and pass those findings on to the rest of the Paladin Management Team.
In the most basic terms, a Paladin Supervisor will work closely with their assigned Client Service Manager to ensure that all of the needs of the Client are being met and that the security department at their site is running in the most effective manner possible
Specific Duties
  • Run the shift and the staff with it effectively. This includes (administratively) daily paperwork including the audit and review of daily incident reports, daily log sheet, contractor sign in/out sheet, shift sign in log, memo book and monthly audit forms
  • Operational requirements that must be met include the following but are not limited to; escorts, daily unlocks and lock ups, accesses, and any emergency response that arises (i.e. Fire alarms, first aid calls, etc)
  • Responsible for ensuring all incidents reports written during their shifts are legible and comprehendible and all accounted for
  • Must also have knowledge of the Operation Manuals and the information at base to contact whomever is necessary
  • Responsible for ensuring open communication amongst their staff and with the CSM. Problems with morale, or with staff, must be reported immediately to ensure that the shifts run smoothly
  • Ensure the office(s) used by the security team is kept clean and that all binders are audited weekly
  • Develop or implement programs, initiatives or changes as needed or requested by the client or CSM
  • Ensure the integrity of the key control and passes program, including ensuring that accounted for and will not distribute any equipment without checking proper identification of staff or contractors
  • Check the pertinent email accounts and print off necessary memos for the appropriate binders signing their names at the bottom as having completed this task
  • Ensure all Shift Supervisors (4) have been briefed properly at the beginning and end of their shifts and that the officers on their shifts have received their breaks in a timely manner.
  • Conduct regular quality assurance checks with various departments and contacts within the site, maintaining positive relationships with site staff and regularly reporting to the CSM regarding site relations
  • Regularly audit the notebooks of the officers ensuring the high quality of security personal we are to have at the site. This information is to be recorded and reported to the Site Supervisor
  • When Issuing disciplinary citations or accolades forward the paperwork to the CSM as soon as able
  • Responsible for scheduling, entering the schedule into TEAM, ensuring that changes in team are completed to ensure payroll accurate every two weeks and training of their staff. Staff is to be directed by the Site Supervisors to be attired professionally and in a manner consistent with Paladin's policies on dress & deportment
  • Carry out daily duties which are (but not limited to); checking emails and answering any pressing issues, discussing any events that may have happened with the previous shifts, conferring with the CSM or client for daily or upcoming matters, meeting with outgoing and oncoming shifts for personal or site discussions, ensuring daily paperwork has been completed
  • Daily paperwork would include sign in sheets, overtime has been checked & authorized, incident reports documented and written properly. Checking for paperwork from the client that has been returned and needs to be corrected. Any forms or information left by staff for filing or follow-up and any other daily paperwork that must be filed or forwarded
  • Ensure that the training orientation check lists and needed courses have been completed by all staff. Courses must be booked by the Site Supervisors and copied to the CSM
  • Regularly audit Tracktik (where applicable) checking that reports are entered in a timely manner and that there are not glaring issues with how the reports are written
  • Collect and analyze metrics on security incidents and activity, publish reports and make presentations to Paladin or clients regarding trends in security activity for the site
  • Complete employee evaluations in a timely manner and accolades and or disciplinary forms that have been issued must be forwarded to the proper management personnel. Vacation requests must be taken in a timely fashion and allowed only if there are no scheduling conflicts that would incur overtime
  • Bi-weekly and monthly duties for the position include payroll, schedule (entered into TEAM), audits to be organized, completed, retested and handed in to the client, belt audits for equipment control & special projects
  • Attend unscheduled & scheduled meetings. Last minute bookings for sick employees or coverage of shifts if necessary
  • Respond to all emergencies and take command of the situations as they pertain to the contract security company's involvement and ensure they are reported according to Client expectations
  • Responsible for ensuring the staff have read and understand Paladin's Occupational Health and Safety Policies & Procedures. Report any infractions or accidents that occur on site
  • Report & confer with the CSM on a regular basis encouraging a strong team and having an open-door policy for the site. Any deficiencies or site issues will be reported via email immediately
  • Ensure that there is no time loss on site
  • Inform CSM in writing when overtime occurs and the reason for it to request approval
  • Any after-hours calls made to the Site Supervisor will be recorded for follow-up by the site management the following business day
  • Deal with any disciplinary issues will have a witness present and have paperwork completed
  • Can also take care of the little things that take time but make a site run smoothly. These things include general cleanliness of the ready room, recognition of duties well done, staff meetings, taking calls at all times for emergency & general help
