The Opportunity
The Mental Health Foundation of Nova Scotia is searching for an Office Administrator to support the day-to-day operations of its Dartmouth office. You must be a multitasker with strong interpersonal skills, excellent organizational abilities, and a professional presence. You must possess exceptional communication skills and be willing to work independently and as part of a team. The Office Administrator will ensure the office runs smoothly and efficiently, provide administrative support to the Foundation team, and ensure confidentiality with the President & CEO.
Primary Responsibilities:
Oversee daily operations of the office such as welcoming visitors, answering the phone, monitoring email accounts, setting-up virtual meetings, mail processing (incoming/outgoing), procuring office supplies, coordinating on-site facilities (security/maintenance/housekeeping), and booking the boardroom.
Provide administrative support and calendar management to the President & CEO including scheduling and attending Board and Committee meetings, preparing and distributing meeting materials, and taking minutes.
Provide administrative support to the Foundation team.
Complete daily and special event data entry.
Process Episodic Requests and Welcome Home requests from application to completion.
Coordinate team building activities.
Other office/administrative tasks as required.
Qualifications:
Completion of an Office or Business Administration Diploma with 1-2 years administrative experience, or experience in a not-for-profit environment.
Skilled in MS Office Suite (Excel, Word, Outlook).
Customer service competencies, outstanding time management skills and the ability to prioritize work.
Sensitive, tactful, and diplomatic while exercising discretion and confidentiality.
Ability to adapt to change and work with interruptions.
Experience in a mental health setting considered an asset.
Raiser's Edge (NXT) experience considered an asset.
Capacity to accommodate occasional evening and weekend work - quarterly Board meetings, signature events, etc.
An equivalent combination of experience and education may be considered.
