Job Summary
The Clerk IV provides advanced confidential administrative support to the Provincial Senior Director and Clinical Chief of the Provincial Cancer Care Program. This role is critical in ensuring the smooth and efficient operation of the Cancer Care Program's administrative office. The incumbent will manage a wide variety of organizational functions with a high level of responsibility and confidentiality, supporting the Senior Director and facilitating effective communication across multiple departments and national partners. In carrying out these functions, the incumbent plays an integral role in month-end reporting activities, audit preparation processes and database entry and management. As well as encompassing a full range of office administrative functions including production of correspondences, reports, and presentations. Strong computer skills are required. Also, the incumbent will maintain the Senior Director's calendars, organize meetings both provincial and national, prepare agendas; record minutes and ensure timely follow-up on action items. The incumbent will organize and maintain efficient file management systems, handle routine correspondence, and serve as the primary contact for the department ensuring appropriate dissemination is maintained. This position will have daily interactions with Senior Executive, Senior Directors, Medical Directors, the program's leadership team, Managers, staff, internal and external clients.

Work provides the opportunity to stand and walk within the office environment.
Constantly required to use fine finger/precision work while entering/maintaining data, as well as a constant requirement for eye/hand coordination to ensure precision in completing work and maintaining database files.
Regularly to constantly requires bilateral, repetitive fine motor skills (i.e. typing and mousing) on the computer (seated at a workstation).

Job Qualifications

Education
Completion of a recognized/approved two-year Office/Business Management Program from a recognized/approved college is required.

Experience
Minimum of three years' experience within the last five in a progressively responsible administrative role is required.

Competencies (Knowledge, Skills & Abilities)
Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required. An Excel test may be administered by Human Resources.
Demonstrated strong organizational and communication skills.
Demonstrated effective problem solving and analytical skills.
Proven ability to work with limited supervision in a dynamic work environment.
Demonstrated ability to work effectively within a deadline driven, team-orientated environment.

A satisfactory record of work performance and attendance is required.

*Proof of a current office administration/business management program is required. To be considered current, the program must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.
