Job Summary
Reporting to the Associate Director, BN (Collaborative) Program, the Secretary I provides secretarial support to the BN (Collaborative) Program at the CNS. This individual electronically formats and produces correspondence, student handbooks, reports and course materials, and is responsible for the electronic and paper distribution of those materials. This position is the point of contact for current students and responds to inquiries. The Secretary I schedules and coordinates events and meetings, and provides support to various committees, recording, preparing and distributing minutes, agendas, and documentation. This individual organizes and maintains a confidential electronic and paper filing system. The Secretary I ensures that all preclinical requirements for students have been received and electronically entered into the Health Sciences Placement Network (HSPnet), and is responsible for the follow-up and maintenance of this data. This individual coordinates and ensures security access to clinical areas, as well as Meditech and Pyxis applications for students entering clinical areas. The Secretary I is responsible for the electronic preparation and revision of examinations, using a ParTest data system and ProctorU. This position assists the Registrar as required. The incumbent will take initiative to organize and establish work priorities, and other related duties as required.

Job Qualifications
Successful completion of a two-year Office Administration program OR completion of a one-year Office Administration program from an approved/recognized college supplemented by two years' experience within the last four in a progressively responsible clerical role is required.
Experience working in a role responsible for the recording, transcription, preparation and distribution of meeting minutes and agenda for a committee or other recurring meeting group is required.
Experience working in a role responsible for document/letter preparation and formatting is required.
Successful completion of an approved/recognized medical terminology course is required.
Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required.
Demonstrated proficiency in HSPnet Provincial Data Network, Meditech, Pyxis, ParScore and ParTest applications is an asset.
Demonstrated excellent oral and written communication skills and interpersonal skills are required.
Demonstrated excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment are required.
A satisfactory record of work performance and attendance is required.

*A skills assessment will be administered by the department of human resources.

*Proof of a current office administration program and a medical terminology is required. To be considered current, they must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.

** If medical terminology isn't current, a medical terminology test may be administered by the Human Resources Client Services Department.
