FINANCIAL SERVICES

Student Accounts & Receivables Services is a fast paced, customer service-oriented office. Our primary customers are students, but we also provide service to faculty, staff and the general public with a variety of services related to campus.

Salary Range: $23.48 - $27.26 per hour

YOUR FOCUS

Reporting primarily to the Manager, Student Accounts, the Administrative Cashier -Residence, Non-Credit & Travel Advance Receivable - PL4 is responsible for cashier service and the management of clerical projects. The Clerk PL4 handles the maintenance, collection, and reconciliation of the Non-Credit Receivable (NCR), Magee Rent (MR), and Travel Advance Receivable (TAR) accounts. This position also reconciles all residence accounts.

  • Provide counter service to students, faculty, staff, and the public - process transactions, answer questions, identify problems, and take corrective action.
  • Discuss payment plan options with students who are unable to meet the payment deadline including approval of extensions or payment plan within established guidelines.
  • Serve as the Financial Services point person for the College of Extended Learning and Saint John College.
  • Process student loans online and notify students when loans do not fully cover term fees.
  • Identify and transfer payments between accounts as needed.
  • Prepare and process refunds for overpayments and dropped courses.
  • Answer questions and provide instruction on the steps that must be taken to clear advances.
  • Ensure accurate reporting of accounts, analyze reports and follow up on billing issues with Administrative Assistant.
  • Analyze individual accounts to identify errors and coordinate with the Manager of Student Accounts and Receivables for any discrepancies.
  • Monitor overdue accounts and take necessary actions towards collection - sending email notifications, calling the employee or the student supervisor.
  • Identify and correct payment allocation issues using reports and routines.
  • Create TAR invoice batches and adjustments weekly.
  • Maintain TAR spreadsheet and provide current information to Accounts Payable.
  • Function as the main point of contact for all customer inquiries, that includes, but are not limited to, Residential Life -students and parents.
  • Manage the residence deposit and refund processes.
  • Coordinate with the Manager of Student Accounts & Receivables to ensure that Residence Meal and Room billing is current.
  • Provide occasional backup support with the processing of cash concentrators and invoice receipting.
  • Process all approved tuition benefits and staff waiver forms for Non-Credit Courses.
  • Manage the processing of sponsorship payments.
  • Other related duties as assigned.

WHAT YOU BRING

  • Post-secondary education in a recognized accounting program.
  • 3 years of related experience in a high volume, computerized accounting environment.
  • An equivalent combination of training and experience may be considered.

Additional Strengths

  • Experience working with accounts and fees in an academic environment is considered an asset.
  • Strong customer service skills.
  • Strong technical proficiency - Microsoft 365 Suite.
  • Knowledge of fundamental accounting principles.
  • Willingness to participate in job-related courses.
