In this role, you will :

  • Maintain project documents, presentations, workflows, processes, tools, logs, and plans as directed by the Director or a Project Manager.
  • Maintain status updates, relevant tracking logs and timelines, and key project deliverables and milestones.
  • Create and socialize internal project communication to ensure project team members informed about project status and issues that may impact the project scope, schedule, budget, and quality.
  • Update project systems (e.g. Smartsheet) to ensure it's kept current and that project team members have access.
  • Collaborate with external teams and vendors to ensure that any issues are escalated appropriately.
  • Conduct research for the development of communications for all stakeholders according to the project communication plan.
  • Responsible for managing aspects of project finance administration by tracking individual expenses and with the reconciliation of invoices to contracts and financial discrepancies (Purchase Requisitions/Purchase Orders).
  • Produce and distribute timely, detailed summaries and various reports to provide key information to stakeholders.
  • Oversee the tracking of staff/volunteer time and records it throughout projects and change activities.
  • Support P&S program administratively which includes difference divisions.

What we are looking for :

  • Completion of a post secondary program in business administration/administration, or in a related field with a minimum of one to three years of work experience or combination of education and experience.
  • Experience using web-based project and document systems is required, knowledge of Smartsheet and Jira would be an asset.
  • Experience in program administration.

Working Conditions :

  • Much of the work is performed in a virtual work environment.
  • May include long to moderate hours sitting and using computers and office equipment.
