Job Summary
The Clerk Typist III is responsible for providing advanced, complex clerical support and skilled typing for the Central Intake program, primarily for developing and operating a single-entry model for Child and Youth Services. This includes working with interdisciplinary staff, physicians and primary care providers. This role supports continuous quality improvement in the processes related to office management and receives direction from and collaborates with the clinical lead for the single-entry model.
The role includes the following duties: receiving and maintaining patient referral requests and other medical documentation and recording data into existing computer databases, Meditech, and/or spreadsheets. Adjusting clinic templates in Meditech and other systems and monitoring clinic schedules to ensure efficient patient flow and access to care. The Clerk Typist III will participate in data collection for reporting on wait times and developing processes related to wait time management.
It may also include scheduling patients, patient registration, ensuring patient confidentiality, obtaining patient records from Health Records, sending records for scanning, facilitating urgent appointments, providing written and verbal instructions to clients and families regarding appointments and procedures, answering and responding to telephone inquiries with clients, family physicians concerning scheduling,
Maintains and orders adequate clinic/divisional equipment, supplies and inventory; maintains and operates various office technology equipment, arranging and participating in meetings, including transcribing minutes. May complete payroll functions; supervise, plan, assign and review the work of other clerical/support staff throughout the program. Provides orientation to support staff and relieves staff as required. Participates in special projects as required.

Job Qualifications
Successful completion of a two-year Office Administration program OR completion of a one-year Office Administration program from an approved/recognized college supplemented by two years of experience within the last four in a progressively responsible clerical role is required.
Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required.
A satisfactory record of work performance is required.
*The successful candidate must be willing to complete Electronic Medical Record (EMR) training upon commencing the position.
*Proof of a current office administration program is required. To be considered current, they must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.
