Overview

The Association of University of New Brunswick Teachers is the exclusive bargaining agent for more than 1000 Faculty Members, Librarians, Archivists and Contract Academic Instructors on the University of New Brunswick's Saint John and Fredericton Campus.

AUNBT is hiring a Membership Coordinator and Administrative Officer to join the team. This is a probationary, full-time position.

The Membership Coordinator and Administrative Officer reports to the President and AUNBT Executive and is part of a close, dynamic, and collaborative team of staff and volunteers dedicated to promoting the interests of Members by identifying and seeking resolution to workplace issues, providing daily service and support, and endeavoring to improve Members' working conditions as they carry out their teaching, research and service dues.

The Membership Coordinator and Administrative Officer will contribute to mobilizing and organizing activities as well as being responsible for the day-to-day affairs of the AUNBT office, including maintaining AUNBT's various databases, handling payroll, expense claim processing and financial reporting, maintaining member communication, organizing events and providing administrative support to AUNBT's Executive and various committees.

AUNBT staff routinely handle sensitive and confidential information. Strict adherence to confidentiality and privacy is required in all related union business.

MAJOR RESPONSIBILITIES AND DUTIES

Administration and Operations

  • Manage the day-to-day operations of the AUNBT office, including interacting with the public, members and university administration
  • Provide support to the AUNBT Executive, AUNBT Committees and AUNBT staff as needed
  • Work in collaboration with Labour Relations Lawyers to prepare and manage informal and formal grievances
  • Organize and attend AUNBT meetings as needed and take meeting minutes
  • Maintain AUNBT's file systems (electronic and paper) and AUNBT archives
  • Other administrative and operational duties as prescribed by the Executive

Bookkeeping, Payroll and Finances

  • Manage accounts payable by recording and paying bills, ensuring vendors are paid on time and maintaining accurate records of outstanding payments
  • Record all financial transactions accurately and in a timely manner
  • Reconciliation of bank and credit card statements and any other financial activities
  • Prepare financial documentation and assist auditors during annual audits
  • Implement and maintain internal controls for finances
  • Calculate and process payroll, benefits and expenses for employees and stipends of AUNBT officers
  • Any other financial duties as prescribed by the Executive

Membership Engagement and Communications

  • Take a key role in planning and delivering member activities
  • Maintain member database
  • Assist with the AUNBT newsletter and other member communications
  • Draft communications for the AUNBT President and Executive as needed
  • Manage and update the AUNBT website
  • Any other membership engagement and communications duties as prescribed by the Executive

Qualifications

  • interest in and experience with membership engagement and outreach for a member driven organization;
  • experience with QuickBooks online (minimum of two years preferred) and preparing for financial audits;
  • bookkeeping experience, including monthly reconciliations;
  • proficiency with word processing, email, spreadsheets, databases and on-line video conferencing (e.g., Zoom, Teams);
  • ability to draft communications for a large audience;
  • ability to handle sensitive information with discretion, confidentiality and professionalism;
  • ability to take initiative and work independently

Preferred Experience

  • knowledge or experience with labour relations or post-secondary education
  • proficiency in French or another language, other than English, is an asset

Hours, location and compensation details

37.5 hours per week (Monday to Friday). The AUNBT office is located on the UNB Fredericton campus.

Salary and Benefits:

Competitive compensation package starting at a minimum salary of $45,000, with the potential for significantly higher compensation for candidates who meet qualifications and experience. The package also includes comprehensive benefits such as health insurance, pension benefits, and professional development opportunities.
