THE ROLE
An inaugural role reflecting our rapid growth at MDR Strategy Group Ltd., we are seeking a highly committed, organized, and engaging professional to join our team in the role of Administrative and Project Coordinator.
Reporting to the CEO, the Administrative and Project Coordinator will be a crucial advisor to our leadership team and other staff and take a leading role in ensuring top notch management of our firm's financial administration, group insurance program, and project administration, while providing highly professional executive administration support.
RESPONSIBILITIES
Financial
- Manage the day-to-day bookkeeping, with focus on AP, AR, and employee expenses.
- Remit monthly financial statements to necessary service providers.
- Assist with year-end filings and audits, as required.
- Invoice clients, track payments, manage reminders, and issue notices of delinquencies.
- Proactively identify areas for improvement of financial management.
Benefits administration
- Coordinate employee enrollment.
- Oversee the firm's benefits program in the capacity of Benefits Administrator.
- Provide benefits administration to new staff and support existing staff as needed.
- Perform annual review of benefits program and solicit quotes for enhancements.
Project Administration
- Provide administrative project support to staff.
- Oversee new client intake processes including engagement offers, contracts, and discovery reporting.
- Ensure the firm's project management software is maintained and kept updated.
- Provide logical support for meetings and presentations.
- Support staff with writing assignments as needed.
Administrative Support
- Oversee CEO scheduling.
- Support leadership with necessary administrative needs and tasks.
- Attend client and project management meetings as necessary.
- Develop decks for client presentation.
- Managing the firm's CRM and database systems.
QUALIFICATIONS
Education
- Completion of post-secondary training with diploma or certificate in business or office administration.
- Training in bookkeeping considered a definite asset.
- Bachelor's degree in a relevant field an asset.
- Proven ongoing professional development an asset.
Professional Experience
- Minimum of years of professional experience working in a fast-paced office with multiple competing responsibilities.
- A minimum of 2-3 years of bookkeeping experience required.
- Experience working with non-profit organizations strongly preferred, and previous regulatory body experience a definite asset.
- Previous experience working in an agency/consulting environment an asset.
- Experience working within lean/small businesses preferred.
Technology
- Extensive experience working with Microsoft Office, Zoom, Teams, and other day-to-day business tools is essential.
- Understanding of project management tools such as monday.com an asset.
- Understanding of CRMs such as Hubspot a definite bonus.
