About Us

As part of the Newfoundland and Labrador Health Services, the Digital Health division provides quality information to health professionals, the public, researchers, and health system decision makers. Through collaboration with the health system, we support the development of data and technical standards, maintain key health databases, carry out analytics and evaluation, and support health research. We support healthcare within Newfoundland and Labrador, including patients and communities through the delivery of information technology (IT) and digital health services applied in the healthcare system to provide quality care. Our mandate includes the development and implementation of a confidential and secure provincial electronic health record as well as other provincial clinical information programs, including the change management required to support adoption by end user clinicians.

In alignment with the Provincial Health Accord, NL Health Services will be replacing Meditech Magic and Client Server (CRMS) as well as other digital health systems with a new leading- edge Health Information System (HIS). This project will be the largest health care system implementation ever launched in Newfoundland and Labrador.

EPIC has been selected as the preferred digital health solution for this HIS project. This transformational change will allow us to join other Canadian provinces in the modernization of our provincial health information system.

About the Role

The Manager of Integrations/Conversions position will be required for the implementation of the HIS Project. The Manager of Integrations/Conversions will report to the Director of Information Technology.

You will be responsible for, but not limited to, the following:

  • Lead the planning and execution of Epic Healthcare integrations and data conversions, ensuring alignment with overall project goals and timelines.
  • Define and communicate project goals, milestones, deliverables, and key success factors to stakeholders.
  • Collaborate with cross-functional teams to ensure integration and conversion activities are in sync with other Epic implementation phases.
  • Supervise the Epic integrations and conversions team, providing guidance, and ensuring team productivity and morale.
  • Monitor and guide team members through the use of Epic tools such as Orion and Sherlock for all builds, including tasks and building blocks.
  • Assign roles and responsibilities based on individual skills and project needs, ensuring optimal resource utilization.
  • Act as the primary point of contact for external vendors, ensuring proper integration of third-party systems with Epic.
  • Facilitate communication between the team and key stakeholders, including healthcare providers, technical leads, and NLHS administration, to ensure project objectives are understood and met.
  • Provide high-level oversight of the integration and conversion processes, ensuring data accuracy, system interoperability, and compliance with healthcare standards (e.g., HL7, FHIR).
  • Address technical challenges and escalate critical issues to the appropriate technical teams or vendors for resolution.
  • Ensure the appropriate testing, validation, and quality assurance processes are in place for all integrations and conversions.
  • Identify project risks related to integrations and conversions, develop mitigation strategies, and implement contingency plans as needed.
  • Proactively monitor for potential integration or data conversion issues, addressing them swiftly to minimize disruption to project timelines or patient care operations.
  • Manage changes to the integration scope or conversion requirements, ensuring that all modifications are documented and communicated effectively.
  • Develop and deliver regular status reports on integration and conversion progress to executive leadership, identifying key milestones, risks, and issues.
  • Maintain accurate documentation of integration and conversion processes, including system designs, data mapping, and conversion scripts.
  • Ensure all completed integrations and data conversions are documented and accessible for future reference and audits.
  • Oversee the budget for integration and conversion activities, ensuring that all project expenditures are within approved limits.
  • Review and approve vendor invoices, ensuring that services rendered align with contractual terms.
  • Forecast and manage financial risks related to integration or conversion delays or technical challenges.
  • Lead efforts to identify opportunities for process improvements in future integrations and conversions, leveraging lessons learned from past experiences.
  • Stay updated on industry best practices and new technologies related to healthcare IT integrations and conversions.
  • Implement best practices to streamline integration and conversion efforts in future Epic deployments or system upgrades.
  • Work closely with clinical teams, IT infrastructure, security, and data governance teams to ensure integrated workflows and systems function seamlessly post-implementation.
  • Coordinate with training teams to ensure all stakeholders understand new integrations and any operational changes that result from data conversions.
  • Collaborate with the project's broader Epic leadership to ensure integrations and conversions are in harmony with the overall system implementation strategy.

About You

Your education and experience include:

  • Undergraduate degree (Master's Degree is considered an asset) in business, mathematics, computer science or related field supplemented by relevant work experience.
  • Certification in industry-standard, current IT technologies (e.g.: ITIL V3) preferred.
  • Minimum of 5 years working in a progressively responsible IT management role, of which, 3 years of experience in a people management role is preferred. This experience would include leading work teams and assigning resources to support the achievement of organizational objectives.
  • Leadership and management training preferred.
  • Valid NL Drivers' License and access to a vehicle, as travel may be required.

You have the following skills and abilities:

  • Transformational leadership skills with extensive knowledge of current trends and practices in the fast-changing and highly technical healthcare information technology industry.
  • Knowledge of the provincial health care environment (including Meditech HCIS operations); specifically, in relation to utilization of health information systems to support delivery of care within a healthcare environment.
  • Ability to coach and mentor staff for optimal performance and professional growth.
  • Strong analytical and problem-solving skills.
  • Superior communication and interpersonal skills.
  • Ability to build and maintain effective professional working relationships.
  • Good judgment with the ability to build consensus among groups with differing priorities.
  • Ability to function independently in a high pressure, diverse, and changing environment.
  • Self-motivated with excellent time management and organizational skills.
