Salary: $45,191 per annum (SEIU Administrative Assistant 3). Salary increases to $50,371 following successful completion of 6-month probation period.

Responsibilities

Acadia seeks a full-time Administrative Assistant in the School of Music to provide administrative and financial support to the Director and faculty within the School of Music. The Administrative Assistant will serve in an advisory capacity while providing administrative services ensuring the effective and efficient workflow and operation of the school.

Reporting to the Director, the Administrative Assistant will manage, initiate, and lead initiatives that support the running of the School which may include concert and event scheduling and booking, updating marketing and promotion of events, and communication with community organizations. An understanding of professional associations that have external accreditation requirements is required. For music this includes, but is not limited to Board of Education, Canadian Association of Music Therapists, Society of Composers, Authors and Music Publishers, and Nova Scotia Music Educators.

The Administrative Assistant will support the Director with the preparation of the annual budget, monitor and reconcile expenses to ensure compliance for all budget lines; investigate discrepancies; coordinate and monitor payments for BMT practicums supervisors and support the Director and faculty with projects by providing administrative and financial support.

The Administrative Assistant contributes to the timetable for all courses offered through the school, supports recruitment of new students, assists in the recruitment process of hiring new faculty, provides support for the faculty career development process, and serves as a contributing member on various School of Music committees.

Qualifications
  • Completion of a post-secondary program in Office or Business Administration, or a University Degree, combined with relevant work experience.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills, with demonstrated experience providing exceptional client service.
  • Strong analytical abilities, high attention to detail, and the capacity to work with confidentiality in a dynamic, fast-paced environment.
  • Proven problem-solving skills, with the ability to remain calm and effective under pressure.
  • Advanced proficiency in Microsoft Office applications. Experience with database management is essential, with familiarity with the Ellucian Colleague system considered an asset.
  • Experience managing web and social media presence.
  • Familiarity with Acadia University's academic programs and administrative procedures is an asset.
