The International Education Centre at Mount Saint Vincent University invites applications for the position of Office Assistant.

Responsibilities

The Office Assistant is the face of the International Education Centre. This includes greeting and assisting students and other guests in person, on the phone, and by email. The successful candidate will provide basic information about Halifax, the University and its services, and immigration documents, while booking appointments with IEC team members and making referrals to other services at MSVU, as needed. They will answer basic questions and provide materials to help students prepare for their appointments.

The Office Assistant provides specialized administrative support to the International Education Centre team. This includes financial administration, logistical support, maintaining records, preparing and formatting of documents such as excel sheets, communication, surveys and promotional material. The successful candidate will proactively book meetings and appointments for various groups of students that fall under the responsibility of the IEC such as student requiring custodianship, participants in the Student Refugee Program, and more.

The Office Assistant also supports student engagement by posting to social media regularly in collaboration with the International Student Engagement Assistant and other team members as needed. They are actively involved in preparing for and rolling out events, activities, meetings, and other initiatives led by the IEC team.

Qualifications

The ideal candidate will have a community college diploma in office administration or a related area and a minimum of 2 years of related experience. An equivalent combination of education and experience may be considered. You are a relationship builder with a focus on excellent customer service and effective communications. You are a motivated team player and independent thinker. You are comfortable managing multiple requests, meeting deadlines, and collaborating with faculty and staff to develop solutions. You are committed to equity, diversity, inclusion, and accessibility (EDIA), continuous process improvement, are results-oriented, and anticipate and plan accordingly. Experience in a post-secondary environment would be considered an asset. Candidates should be proficient in the use of Microsoft Office Suite (Excel, Word, PowerPoint), social media platforms, and have an aptitude for, or previous experience, using business enterprise systems such as Colleague, Banner, PeopleSoft, etc.
