The Opportunity

We are currently seeking an Administrative Assistant II based in Sudbury, Ontario to join our Exploration Department and support the North American Exploration team. This is a permanent position.

As an Administrative Assistant II, you will assist our Operational Support team with various administrative tasks related to our North American Exploration program which is primarily focused on discovering and delineating new mineral resources in Thompson (Manitoba), Sudbury (Ontario) and Voisey's Bay (Newfoundland-Labrador).

  • Communicate with contacts at all levels inside and outside the organization.
  • Process invoices for payment into the SAP system.
  • Maintain internal invoice filing system.
  • Ensure prompt payment to suppliers with agreed upon timelines.
  • Investigate and resolve any invoicing issues arising.
  • Assist in the budget process by consolidating information and monitoring spend throughout the year.
  • Schedule meetings and coordinate workshops, conferences and other work-related events.
  • Organize and maintain files, correspondence and records, following-up on pending matters.
  • Prepare regular correspondences, reports, and presentations.
  • Maintain dashboards, trackers and other Key Performance Indicators (KPI).
  • Contribute to the continuous improvements of our administrative processes and procedures.
  • Works independently within specific scope as determined by the immediate supervisor.
  • Other administrative duties as assigned

About You

Education:

  • College Diploma / degree in administrative or business studies

Experience:

  • A minimum of 5 years of previous Administrative Assistant experience
  • Experience and good understanding of the procurement process.
  • Experience and good understanding of AR/AP and contract management.
  • Good computer skills including, in-depth knowledge of Excel and SAP (an asset).
