The Opportunity

We are currently seeking a Senior Coordinator Contracts to join our Administration team in Long Harbour.

This is a permanent on-site position, working a 4x10s schedule at the Long Harbour Operations site in Long Harbour, NL.

As Senior Contracts Coordinator, you will provide support services to the Long Harbour Operations following the corporate guidelines, procedures, Vale values, principles, and policies. This person will be responsible for the coordination of service and good contracts for all areas of the Vale LHO Operations.

Additionally, as Senior Contracts Coordinator, you will support key stakeholders with the physical and financial management of the contract, and with the strategic initiatives to generate "best fit" contract structures. You are responsible to provide assurance for strict observance of contractual clauses. This includes but is not limited to; those relating to the measurement of contractor/vendor performance, associated key performance indicators, fulfillment of deadlines, and cost and quality commitments.

Working closely with the Procurement and Finance teams, a key objective of the role is to minimize site operating and financial risk, while ensuring contracts are set up with "best fit resources" through application of effective and efficient contract management principles to meet operational demand objectives.

In this position, you will:

  • Lead and assist company stakeholders in the preparation of RFP packages, including scope development, cost and budget models, and technical/commercial evaluation and analysis prior to award.
  • Lead and assist company stakeholders in developing contract sourcing strategies based on best fit resource models to support operational demand requirements.
  • Develop, execute and lead performance management strategies of the contractor (safety, execution efficiency, cost management, continuous improvement, etc.) by leading performance meetings focused on key performance indicators and defined evaluation metrics.
  • Lead and assist with special cost improvement and operational efficiency and value generation projects; Provide oversight of contract management to other teams.
  • Coordinate contractor mobilization, labour/equipment ramp ups, training, certifications, etc., in line with Vale norms, procedures, and policies.
  • Maintain strict observance of contract terms and conditions by employing effective contract management standards and ensure financial control processes are enforced, in accordance with corporate governance and commercial compliance norms.
  • Ensure effective invoice verification processes are utilized relative to the commercial risks assessed for each agreement; maintain/develop checklists to ensure consistent attest routine.

About You

Education:

  • Undergraduate Degree in Business Administration or related field

Experience:

  • A minimum of 5 years in a similar role

Skills:

  • Experience with entire contract administration cycle of contracts understanding of key controls and processes – including expenditure tracking ·
  • Experience working with 'Purchase to Pay' systems. ( i.e. SAP) ·
  • Superior organizational, analytical and troubleshooting skills, with a keen attention to detail.
  • Ability to multitask, change priorities, problem solve and resolve conflict · Experience with computerized software programs such as Microsoft Office Suite – particularly Excel expertise.
  • Strong interpersonal and communication skills, both written and verbal.
