In this role, you will :

Responsibility 1 - Business Support for BC & Yukon

  • Oversees and ensures smooth operation of the reception area and functions at all shared offices, with a focus on supporting and supervising volunteers to carry out reception area work and other assigned tasks.
  • Responds to general enquiries about our shared offices throughout BCY; provides information and directs the incoming calls to appropriate service department/program or other agencies.
  • Supports the development of resources and tools to support BCY personnel
  • Accepts donations to the CRC in person, and issues general non-tax receipts.
  • Completes records management functions ensuring year-end and file storage or destruction processes are in line with society guidelines.
  • Supports Manager with producing reports for VP, and Program Directors/teams, and special projects as identified.

Responsibility 2 - Support to Health and Safety

  • Provides administrative support to BCY Health and Safety processes and safety-related meetings and initiatives. Includes but is not limited to supporting tracking, completion of required trainings and checklists, updating of documents, reference guides minute-taking and facilitating meetings.
  • Facilitates health and safety related processes and tracking across the geography, including building inspections, occupational first aid attendants, equipment and first aid supplies.
  • Helps to coordinate Joint Occupational Health and Safety Committee meetings and related functions. Participates in the committee as a worker representative.
  • Apprised of Worksafe BC requirements and works with the national OHS team on implementing any required changes in process and procedures in BC and Yukon.

Responsibility 3 - Volunteer Management

  • Identifies areas for volunteer involvement and builds team of volunteers to support day to day work and response related activities.
  • Develops training materials and delivers training to equip volunteers for success.
  • Builds and delivers volunteer engagement and recognition activities to retain the volunteers.
  • Together with other BSU team members, supervises volunteers at BC and Yukon shared offices, focusing on the full volunteer cycle and career/skill development.

What are we looking for :

  • The minimum qualifications for this job are completion of a Community College diploma in Accounting, Finance or Administration.
  • 2-3 years of related experience, or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite and Microsoft 365, in particular experience in SharePoint and Teams. Above average Excel skills.
  • Ability to prioritize and multi-task.
  • Ability to work independently and to take initiative, and also work well as part of a team.
  • Detail-oriented.
  • Comfortable with developing processes and practices.
  • Ability to think creatively within defined policies.
  • Valid Driver's License is an asset.
  • Experience in volunteer management is an asset.
  • Fluency in a second language is an asset.
  • Experience in working with a diverse population, and an understanding of cultural issues is an asset.

Working Conditions :

  • Work Location at Burnaby office (3400 Lake City Way), moving towards a hybrid remote environment after the 3-month probationary period.
  • Hours of work are Monday to Friday between 8:30 am - 4:30 pm exclusive of a 1-hour lunch (7 hours in total)
  • Extended hours and being on-call during evenings and weekends may be required during disaster response.
