SCHEDULE: Day, 8 and 12-hour shifts. Work schedule may be changed to meet operational needs.

JOB SUMMARY:

Medical Services acts as a link between the medical staff and the Network's administration. The Medical Staff Coordinator is the point of contact for the medical staff in their zone with regard to the various aspects for which the sector is responsible.

The Medical Staff Coordinator reports to the Administrative Director of Medical Services and works under the functional authority of the zone's Medical Director. The coordinator must also work in cooperation with the chief of staff, department heads and the zone's physicians, as well as other internal and external stakeholders, to achieve the objectives of the sector.

The coordinator also works closely with the other medical staff coordinators across the Network in accomplishing tasks, based on needs and priorities. The coordinator is thus part of the team responsible for the overall operation of Medical Services in the zone and provides support to team members at the regional level on both administration and medical leadership matters.

REQUIREMENTS:

  • Recognized postsecondary secretarial or office administration training (two-year program);
  • Any other combination of training and experience deemed relevant and equivalent could be considered;
  • Five years' experience in an administrative secretary position, including two years as an executive secretary Experience in a health-related field is a definite asset;
  • Very good knowledge of and ability to use IT tools and office software (Word, Excel, Power Point, Meditech, Outlook and a very good command of the Windows environment);
  • High level of proficiency in written and spoken French and English is required;
  • Above-average writing skills;
  • High degree of autonomy in organizing meetings by drawing up agendas, carrying out the work required to obtain and assemble the necessary documentation, taking notes during meetings, drafting minutes, and ensuring the ensuing follow-up;
  • Ability to produce high-quality work efficiently despite frequent interruptions and stressful situations;
  • Ability to manage numerous projects/tasks at the same time
  • Keen sense of responsibility;
  • Tact in interpersonal relationships;
  • Strong organizational, analysis and problem-solving skills, as well as good judgment;
  • Strong skills in planning, organizing, prioritizing, managing own time, and meeting deadlines;
  • Demonstrated personal qualities of leadership, initiative, creativity, adaptability to change and positive attitude;
  • Flexibility in working hours;
  • Very good performance and attendance profile;
  • Good work history;
  • Ability to work independently and as part of a team;
  • Physical ability to perform assigned work;
  • Adherence to professional ethics principles, the Network's management philosophy and organizational values;
