Salary Range: $44,863 - $61,143 per annum

YOUR FOCUS

Reporting to Associate Vice-President Human Rights & Equity (AVP), the Assistant to the Associate Vice-President Human Rights & Equity oversees the AVP's schedule and provides office management and coordination.

  • Manage the AVP's schedule including booking necessary meetings and ensuring availability for urgent matters.
  • Ensure the AVP is prepared for meetings. Anticipate what may be required for each meeting and event, request specific background materials or speaking notes, and collect all relevant information into a concise briefing package.
  • Book travel arrangements and assist with travel claims and related expenses.
  • Maintain office inventory. Purchase and maintain general office supplies.
  • Answer incoming inquiries and refer to other offices as necessary.
  • Book boardroom space, catering, and audio visual/telecommunications equipment for meetings.
  • Leverage extensive contacts and relationships across campus to solve problems.
  • Coordinate courier pickup and deliveries.
  • Organize and maintain confidential filing system.
  • Update the office website and social media presences.
  • Assist in the coordination of major events.
  • Perform other related duties, as required.

WHAT YOU BRING

  • Post-secondary diploma in office management, administration or business systems.
  • 2 years experience in an executive office environment.
  • Core equity competencies and experience working towards anti-racism and equity education.

Additional Strengths:

  • Demonstrated experience that indicates commitment to equity, inclusion, innovation, teamwork, flexibility and integrity.
  • Experience as an office manager, administrative coordinator or financial coordinator is a strong asset.
  • Experience working in post-secondary institutions considered an asset.
  • Sensitivity to and awareness of Aboriginal/Indigenous and disability-related issues and their intersection(s) with other identities including race, gender, religion, sexual orientation, age, marital status, family status, etc.
  • Effective communication (written and verbal) and interpersonal skills with a keen ability to engage with various people and groups.
  • Able to work with diverse people across many different backgrounds.
  • Excellent time management and work prioritization skills
  • Strong interpersonal and relationship-building skills
