The OSC has a team of over 30 employees across eight provinces.

About the Candidate:

Reporting to the Office Manager, and working in a shared service model, the Administrative Assistant will support the contracting process as well as the administrative needs of members of the Senior Leadership team of Canada's Ocean Supercluster.

This virtual role requires a unique blend of skills and experience as it bridges contracting to operations as well as supporting our project lifecycle. This role is a mixture of administration, contracting, and project coordination. Having a strong aptitude for learning and leveraging technology combined with an ability to effectively multi-task and manage multiple time-sensitive priorities will be critical to this role. Role and Responsibilities:

  • Work collaboratively with the team that supports the Project Life Cycle, including Contracting, Growth and Operations of OSC Projects to understand key priorities, track deadlines and complete administrative tasks to support those on delivering on those specifications, in a timely manner.
  • Support documentation preparation under the director of the Director, Legal Contracting, including correspondence, reports and presentations.
  • Provide support for contracting process delivery, change requests and operations for OSC, through collaborative tools to track and report progress. For example, through Monday.com.
  • Administratively support members of the OSC Senior Leadership Team by way of expense reporting, calendar management, travel booking and other administrative needs. Attention to detail is a must.
  • Work closely with the team to complete administrative tasks in a timely manner with great attention to detail.
  • Support the Office Manager, or other designated reporting position, with ad hoc activities as they arise.
  • Support the OSC's document management processes, through SharePoint Access Management, in the creation, organization and necessary file management of the contracting process.
  • Assist with the creation and maintenance of reporting tools to generate metrics for quarterly Board reporting.
  • Create and maintain an efficient file management system for legal documents, precedents, and correspondence.
  • Willingness and ability to adapt to emerging technologies in data analysis, staying current with industry trends and advancements.

What you Bring:

  • Some post-secondary education or certification in administration, business and/or project management.
  • 2+ years of experience as an executive or administrative assistant or equivalent, is required.
  • You enjoy working in a support role in contracts, data, reporting, and analytics to derive actionable insights for informed decision-making, is required.
  • Advanced working knowledge of Microsoft Office Suite, Adobe Acrobat, and SharePoint.
  • Familiarity with tools such as Monday.com, and PowerBI is considered a plus. Some training is available for these tools.
  • Exceptional oral and written communication skills.
  • Strong organizational and critical thinking abilities, including the ability to multi-task and juggle multiple priorities. You thrive in moving quickly and efficiently through your work.
  • Extremely organized with a high degree of attention to detail, which includes diligence with follow-up, along with a sense of urgency to get things done well and on time.
  • Flexible team player that is service oriented and shows a willingness to help internal team members.
