The Registered Nurses' Union Newfoundland & Labrador (RNUNL) is dedicated to advocating for registered nurses and nurse practitioners while striving to improve the healthcare system for all. We are seeking a highly organized and motivated Executive Assistant to join our dynamic team and provide administrative support to the Provincial President, Executive Director, and the RNU management team.

Key Responsibilities

· Provide comprehensive administrative support to the Provincial President, Executive Director, and RNUNL management team.

· Manage and coordinate schedules, appointments, and meetings.

· Prepare and edit correspondence, communications, presentations, and other documents.

· Handle incoming and outgoing communications, including phone calls, emails, and mail.

· Organize and manage physical and digital files, records, and documentation systematically and effectively.

· Regularly communicates relevant information to executive and the management team

· Develop and maintain efficient documentation and filing systems

· Assist in the preparation of reports, meeting agendas, and minutes.

· Coordinate travel arrangements and itineraries.

· Support event planning and coordination for meetings, conferences, and other activities.

· Act as a liaison between the Provincial President, Executive Director, management team, and internal/external stakeholders.

· Perform other administrative duties as required to ensure the smooth operation of the office.

Qualifications

· Post-secondary education in business administration, office administration, or a related field.

· Minimum of 5 years of experience in an executive assistant or similar administrative role.

· Strong organizational and time-management skills with the ability to prioritize and multitask effectively.

· Excellent written and verbal communication skills.

· Proficient in Microsoft Office Suite 365 (Word, TEAMS, Excel, PowerPoint, Outlook, etc) and other relevant software.

· Ability to handle confidential information with discretion and professionalism.

· Strong interpersonal skills and the ability to work collaboratively with a diverse team.

· Strong initiative and proactive problem-solving skills

· High level of attention to detail and accuracy.
