Title : Senior Manager, Planning and Business Support

In this role, you will :

Responsibility 1: Leadership of Planning, Reporting, and Financial Management

  • Lead the development and implementation of planning process and tools including planning architecture, creation, and execution of planning process in line with the Society's overall planning approach, and development of supporting materials related to planning.
  • Lead the development of annual & quarterly reporting against the annual operational plan.
  • Support International Cooperation service leads in the evolution of existing and design of new service offerings under the International Cooperation portfolio by coordinating reporting, quality management indicators, and communicating updates to processes.
  • Lead the development and implementation of reporting process and tools including reporting architecture, creation and execution of reporting process, and development of supporting materials related to internal and external reporting obligations.

Responsibility 2: Risk, Quality and Business Management

  • Lead the development and implementation of risk management processes and tools including an approach to integration of risk management within all International Cooperation programs and operations, creation and execution of risk identification, review and update processes in line with the Society's overall Enterprise Risk Management approach, and development of supporting materials related to risk management.
  • In collaboration with service leads and Heads of Region, lead the development, implementation, and monitoring of quality indicators and practices to support the growth and maturity of International Cooperation services and programs in line with the Society's Quality Management Framework and Policy.
  • Lead implementation of incident management processes and tools including an approach to integration of incident management within all International Cooperation services, programs and operations.
  • Foster an analytical approach to business management in collaboration with International Emergency Response and International Partnerships and Programs.

Responsibility 3: Coordination, Engagement, and Information Management

  • Lead the coordination and implementation of initiatives and projects within International Cooperation as requested.
  • Ensures that program and support staff have the tools and knowledge to maintain files and records and responds to queries about overall filing procedures and practices.
  • Ensure all services utilized by IC have appropriate data sets and dashboards for both readiness and response.
  • Supports the development of new business processes and roll out and adherence to process improvement initiatives, such as IO AX, CRM and MS365, Project Information Management System (PIMS), AI, Enterprise Project Management and other initiatives as relevant.

Responsibility 4: People Leadership

  • Provide leadership in the development of career development plans for assigned employees.
  • Support implementation of all People Services policies and practices, ensuring opportunities are created for professional development, recognizing, and celebrating successes, and cultivating a culture of teamwork, collaboration and innovation across all levels and functions of the organization.
  • Ensures adequate capacity to provide support to program activations and ongoing service delivery through effective workforce planning, recruitment, and management.

What we are looking for :

  • University degree in a relevant discipline (business administration, management) from a recognized academic institution, or an equivalent combination of education and experience.
  • Minimum 5-6 years working in program management, administration management or business planning, community development, or similar.
  • Proven experience in a leadership role overseeing business support functions.
  • Experience successfully managing teams and collaborating with stakeholders with no direct supervision. Strong coordination experience.
  • Proven experience in data analysis, visualization and reporting and system development.
  • Experience in managing a large portfolio of work covering multiple disciplines across multiple teams and stakeholders.
  • Fluency in English is required, French is an asset.
  • Strong depth of knowledge of business operations and support processes.
  • Proficient in project management methodologies and tools.
  • Strong understanding of appropriate business support tools, business intelligence dashboards and data frameworks would be an asset.
  • Strong knowledge in data management, technology and information management.
  • Proven ability to manage teams through times of change and maintain a client/service driven approach.
  • Ability to negotiate priorities and objectives to align varying viewpoints and create a unified approach.
  • Ability to work in an extremely fast-paced and demanding environment with resilience and adaptability to changing circumstances.
  • Strong business acumen, problem solving and effective management skills including strategic and operational planning, budgetary processes, resource allocation, evaluation, change management and strategic planning.
  • Proficiency in Microsoft Office applications (Word, Outlook, Excel, Power Point) and Share Point is required.
  • Ability to exercise discretion and professionalism in handling issues and confidential information.

Working conditions :

  • The majority of the work is performed in an environment which is mostly clean and comfortable.
  • Travel throughout Canada required with occasional travel outside the country an option.
  • Able to work non-traditional hours and respond to after hour emergency/disaster related requests
  • Potential for responding in hardship conditions, as well as difficult and unstable conditions (environmental, physical, social, etc.) and uncomfortable conditions (noise, odors, smoke, humidity, vulnerable beneficiaries).
  • Will be required to work non-traditional hours, be on-call, and respond to emergency/disaster related requests.
