Learning Futures

The Centre for Learning Futures is an exciting new initiative at UNB contemplated in UNB toward 2030. The Associate Vice Provost (AVP) (Learning Futures) has the responsibility to bring together the Centre for Enhanced Teaching and Learning, UNB Online, and UNB College. The AVP provides strategic leadership, creating an overall structure and synergies between units that support transformative education at UNB. Some related activities include strategic planning, implementation and review, policy development and review, partnership development, and other operational and strategic initiatives. The Executive Director of UNB Online is a Learning Futures team member with responsibility for all academic credit programming offered through online modalities. This unit has an aggressive growth target of 3500 online students by 2030.

Additional Working Conditions:

Salary Range: $53,301 - $72,644 per annum

YOUR FOCUS

Reporting to the AVP Learning Futures and Executive Director UNB Online, the Administrative Coordinator will provide executive-level administrative and project management support to both the AVP and ED positions. Administrative responsibilities include, but are not limited to, calendar management, travel and expense tracking and processing, booking and coordination of meetings, correspondence and records management. This position is also responsible for management of projects including critical path development and management of deadlines, document development and management, meeting scheduling and preparation and document management.

  • Act as the main point of contact for the VP and ED offices through all points of contact for to internal and external requests.
  • Maintain schedules and calendars, set up meetings, make travel arrangements, compose correspondence, and maintain a robust records management system.
  • Prepare and update daily and weekly schedules and associated documents.
  • Ensure meeting agendas and supporting documents are available in advance for review and access.
  • Ensure follow up notes and action items are noted and tracked for follow-up and documents are filed as part of records management.
  • Prepare correspondence, high-level reports, forms, policy documents, or other document types as required.
  • Prepare and maintain a living project mapping system tracking deliverables, primary and secondary responsibilities, due dates and completion status.
  • Prepare meeting agendas and all supporting documents ensuring decisions are coordinated amongst committee.
  • Liaise with People & Culture to ensure that hiring is in accordance with all UNB procedures and regulations.
  • Assist with the scheduling of interviews, reference checks, and filing of P&C documents.
  • Onboard new administrative staff and oversee onboarding activities of all new hires.
  • Liaise with the Director of Finance to ensure all expenses are within the approved budget.
  • Support AVP and ED in tracking and preparing unit reporting metrics.
  • Ensure the Learning Futures Website and all other documents or contact points are up to date, accurate, and in compliance with UNB guidelines.
  • Organize, coordinate and implement special events, team events, and other engagement-related activities
  • Other duties as assigned

WHAT YOU BRING

  • Post Secondary Education in Executive Administration, Project Management, Business Administration, or a related field.
  • A minimum of 5 years of experience in executive-level administration with project management responsibility.

Additional Strengths

  • A University Degree in Business Administration or a related field is considered a strong asset.
  • Experience in a University environment would be considered an asset.
  • Ability to maintain confidentiality when dealing with sensitive documents.
  • Ability to work independently with little to no supervision.
  • Ability to work independently as well as part of a team.
  • Strong verbal and written communication skills.
  • Ability to operate with tact and efficiency in dealings with internal and external stakeholders.
  • Attention to detail.
  • Ability to multi-task and prioritize takes.
  • Proficient in Microsoft suite.
  • Ability to learn new technologies required for job function.
