The primary purpose of Student Affairs & Services (SAS) is to support students in achieving their academic , personal, and life goals. In keeping with this, SAS develops and delivers a wide range of programs and services that enhance and contribute to the student experience and the learning environment. Standard Work Hours: Mon - Fri | 8:00 am - 4:00 pm | 36.25 hours per week

Salary Range: $19.66 - $23.60 per hour (as of July 1st, 2024)

YOUR FOCUS

Reporting to the Director, Finance and Operations, The Student Support Assistant position provides professional administrative support to the Student Affairs & Services (SAS) Senior Leadership Team and oversees all facets of the day-to-day operation in the Student Services Reception area.

  • Greet, assist and direct students, faculty, staff, parents and supporters, prospective students, and the general public and answer inquiries.
  • Provide accurate, high-level information regarding university policies, procedures, services and supports for students.
  • Coordinate appointments between students and Student Affairs and Services departments and staff.
  • Facilitate connection with resources and departments.
  • Recognize when a student may be in distress or crisis and proactively offer support.
  • Handle student event registrations for department programs and events and track ticket sales.
  • Assist in planning and executing special events, receptions, conferences, and workshops on behalf of SAS, including coordinating with university personnel and managing logistical arrangements.
  • Schedule daily meetings and appointments for Senior Directors, prioritizing requests, and securing room bookings.
  • Regularly review and update department web and intranet platforms.
  • Coordinate with Strategic Communications & Marketing to manage projects on behalf of SAS.
  • Maintain a professional and organized work environment, including managing office supplies and equipment.
  • Collaborate with the Senior Leadership Team within SAS to prepare and process forms, purchase orders, P-Card claims, cheque requisitions, travel advances, expense claims, transfers, and external invoices.
  • Track expenses and revenues, reconciling financial, analyze budgets to identify cost-savings opportunities and budget discrepancies.

WHAT YOU BRING

  • Post-secondary diploma in Office Management, Office Assistant or related field.
  • Minimum 3 years experience working in a computerized, fast-paced, office environment.
  • Experience in a customer service role.

Additional Strengths

  • Experience in a post-secondary environment is preferred.
  • High-quality written and oral interpersonal communications skills.
  • Ability to interact and communicate well in a discrete, friendly, non-judgmental manner with students of diverse backgrounds.
  • A high level of accountability and excellent judgment, decision making, and organizational skills.
  • Ability to handle high volume of telephone, email, and in person traffic.
  • Ability to work well in a team environment while showing initiative and being proactive.
  • Proficiency in Microsoft 365 (Word, Excel, Access, Outlook, Teams, etc.)
  • Experience and knowledge of fundamental accounting principles.
  • Knowledge of UNB and Student Affairs & Services is an asset
