osition Overview:

The City of Saint John is actively seeking a project manager to join our team for a term of approximately three years. The ERP (Enterprise Resource Planning) Project Manager is responsible for leading the City of Saint John in the planning, executing, and monitor progress on the implementation of a new ERP system. The goal is to implement a system that will create efficiencies to ensure more resources can be dedicated to core business activities and service delivery; enhance internal controls and manage risk; ensure the safeguarding, management and analysis of Corporate data; and improve the customer service experience.

The move to a new ERP represents a transformational change in how the City currently operates and must have a management approach that will successfully support users in this transition, while cost-effectively meeting business and service needs. Reporting to the Director, Corporate Performance, this role is expected to work with various consultants, vendors, and stakeholders to manage and coordinate City resources assigned to the project. The project involves a needs and readiness assessment, procurement of a new system and integration services, implementation of new software including the documentation of business processes, and change management. The position will be expected to manage competing priorities across the organization, to achieve the defined project scope within budget and on schedule.

Key Responsibilities:

Work with the consultants, vendors, and stakeholders to complete work planning that achieves the desired outcome of the ERP at each phase of the project (i.e., Needs and Readiness Assessment, Request for Proposal (RFP) for ERP Requirements, Selection Process, and Implementation).

Monitor performance of consultant and vendor tasks to ensure project deliverables are completed to meet the agreed upon scope, schedule, and budget.

Review and compile consultant reports to develop recommendations for the Steering Committee's consideration to make decisions and confirm priorities.

Process and track third-party engagement expenditures, ensuring that project activity matches consultant and vendor invoicing.

Manage the City project team that consists of functional process experts and other support resources within the City, ensuring work is carried out in a cost-effective manner.

Identify resource requirements and work with the City ERP Steering Committee to ensure the appropriate resources are assigned/allocated to the project.

Maintain a risk registry and issues management log to anticipate conditions that may impact scope, schedule, or budget; escalate risks and issues as appropriate (e.g., consultant(s), senior management, City Steering Committee).

Implement appropriate project management tools to plan and document project activities and progress.

Prepare project activity progress (schedule, quality, scope, and resource) reports in a timely manner and develop a repository for communicating with stakeholders as appropriate.

Manage the budget for the project including tracking and reporting.

Facilitate project management meetings online and in person, document meeting minutes and project deliverables, and regularly report on project status.

Develop stakeholder relationships to ensure expectations are managed, engagement with the organization, and the deliverables meet service area needs.
