About the Role

Reporting to the Regional Outpatient Department Manager, the incumbent is responsible for the smooth and efficient operations of the Outpatient Department at the LWHC. This position will provide supervision and support to the administration and nursing staff in the department, while working frontline as required.

Qualifications:

" Graduation from high school or equivalent;
" Successful completion of a two-year Office Administration diploma from a recognized post-secondary institution;
" A minimum of three years experience in a healthcare environment is required;
" Effective communication skills with clients, staff and the general public;
" Excellent organizational and time management skills with an ability to multi-task;
" Ability to work independently with limited supervision;
" The successful applicant will be required to submit a satisfactory certificate of conduct.

Duties: (Included but not limited to)

" Responsible for leading the OPD department and its overall function.
" Oversee all appointment booking. Ensure pending lists are utilized and followed.
" Oversee all outpatient registration.
" Ensure physician schedules are available for booking, up to date and accurate in Meditech and EMR.
" Create and implement referral management processes for local and visiting specialist referrals.
" Process and book local and visiting specialist referrals, ensuring pending lists are utilized and kept up to date.
" Work in conjunction with OPD clerks to book and register all patient appointments.
" Coordinate and manage department staffing schedule.
" Check for mail and distributes/re-directs as necessary.
" Receive all relevant documents following each specialty clinic and processes accordingly.
" Set up and maintains office files, reports, correspondence, and miscellaneous information in an organized manner.
" Operate general office equipment to include regular typing and word processing equipment, copy machines, facsimile machines, calculators, scanners.
" Completes faxe, photocopying, filing, scanning and shredding as required.
" Ensure policies and procedures are up to date.
" Perform other related duties as required.

Salary:

" This is a non-union/non-management position at CG-28 Salary Scale $26.39 to $29.22, per hour plus the applicable Labrador Allowance.

Hours of Work:

" 75 Hours bi-weekly; Monday to Friday; variable shifts.
