Northland Fleet Services, a member of LaPrairie Group of Companies, provides full turnkey fleet management services, for light-duty vehicles and heavy-duty equipment, to customers throughout northern British Columbia.

The Parts and Service Advisor will submit purchase order requests, receive customer repair requests, manage the Repair Order (RO) process, provide estimating support, and perform general administrative duties as assigned.

Roles and Responsibilities:

Inventory Duties:

  • Responsible for organization of Northlands parts rooms and storage spaces (including service trucks, mobile and non- mobile trailers, and sea cans).
  • Conduct physical inventory counts of fixed and mobile storage units' contents.
  • Source, request quotes for and order parts with business costs in mind.
  • Physically receive parts onto shelves and input electronically into Northlands maintenance software (TMT). Follow up on parts and core returns This is a shared responsibility with the Facility Administrator.
  • Issue Purchase Order Requests to LaPrairies Procurement Dept. in Calgary - for parts and materials.
  • Maintain inventory and billing accuracy by ensuring the proper application of the parts to the repair orders (RO).
  • Correspond daily with vendors, suppliers, purchasing group, mechanical staff to follow up on any outstanding parts orders. Communicate and update this information to the necessary parties.
  • Ensure that all shop supplies are adequately stocked.
  • Work closely with Shop Manager, Lead hand and Mechanics to ensure efficient, cost-effective and safe work processes are followed.

Invoicing Duties (TMT and Eclipse Programs):

  • Create new customer profiles in TMT in accordance with AR requirements.
  • Create TMT invoices following the review and approval of final RO / WOs by Shop Manager.
  • Monitor customer credit limit, as required, in collaboration with the LAPRAIRIEs Credit and Collections Supervisor in Calgary.

Phone Duties:

  • Answering work calls received during work hours.
  • Note: all after-hours calls are handled by an outside switchboard, which will forward calls to the Shop Manager, or, in his absence, to the lead hand.

Requirements:

  • Previous experience working with purchase orders and repair orders is an asset.
  • Previous experience working with automotive / commercial / heavy equipment maintenance management systems is an asset.
  • Excellent computer literacy, data entry, data editing and typing skills.
  • Working knowledge of Microsoft Office Systems including Outlook and Excel.
  • Grade 12 Diploma or GED or relevant working experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Solid communication skills (verbal & written).
  • Strong organizational and time management skills.
  • Able to set priorities.
  • Strong work ethic and positive team attitude.
  • Must have valid driver's license.
