About the Company
Forge Recruitment's client, a reputable firm, is seeking a Real Estate Legal Assistant to join their talented team.
About the Role
  • Minutebox obtaining bylaws, articles of incorporation to be inserted into officer's certificate for Harbour deals
  • Teraview - obtaining parcel registers and copies of instruments on title
  • DocuSign - sending a package of documents to be signed electronically
  • Litera Compare producing blacklines/redlines
  • Tunsgten (formerly Kofax) editing pdfs, converting pdfs to word documents, compiling pdfs, creating bookmarks in the pdf documents
  • iManage saving documents, search for documents/files, etc.
  • 3E obtaining proformas, editing proformas, opening files, conducting conflict searches etc.
  • Drafting expense reports and submitting them for approvals
  • Providing clients with an emailed copy of invoices
  • Trust transfers & drafting trust reconciliation statements
  • Compiling officer's certificates
  • Obtaining parcel registers and copies of instruments on title
  • Calendar management
  • Reservations for lunch meetings
  • Scanning & printing
  • Drafting and formatting documents
  • Obtaining proformas, editing narratives, transferring time from one matter to another, dividing dockets
  • Preparing cheque requests
  • Registering legal professionals for webinars or other events
  • Sending T5 forms to the appropriate recipients

What You Bring
  • Legal Assistant Diploma from an accredited institution
  • 5+ years' experience working within the real estate practice area in a law firm
  • Strong multi-tasking skills, with the ability to manage conflicting priorities, while respecting tight deadlines
  • Possesses well developed verbal and written communication skills. Able to work with a variety of individuals providing quality service at all times
  • Operates with a high degree of accuracy and has strong attention to detail
  • Takes initiative and possesses well-developed organizational and time management skills
  • A team player, with the ability to build relationships and provide strong customer service
  • Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint)
  • Solid transcription and proofreading skills
  • Ability to work independently, following instructions with minimal supervision
  • Proficiency using Teraview and Conveyancer is an asset
  • Possesses good judgment and responds well to constructive feedback
  • Ability to discretely handle highly confidential information
  • Willingness to learn workflow schemes and in-house processes
  • Hands on with experience with pre-billing administration (preferably 3E)
  • Familiarity working within a DMS system is an asset
