WHAT YOULL DO
Office Management & Client Support
- Be the face of the office: welcome clients, manage calls, and prepare the space for meetings.
- Maintain the sample library, coordinate shipping/receiving, and ensure the office is beautifully organized.
- Support the design team with vendor management, team time tracking, client proposals, contracts, and digital organization.
Financial Administration
- Manage client invoicing and reporting in QuickBooks and liaise with the accountant and bookkeeper.
- Track project time and assist with Studio Designer system.
- Support monthly financial meetings with clear, organized documentation and contribute to strategic discussions.
Procurement & Project Coordination
- Handle claims for defective items, coordinate resolutions with vendors and trades, and maintain weekly follow-ups.
- Collaborate with designers and vendors to place and track product orders.
- Maintain project budgets, pricing, and purchasing timelines with precision.
Client Communication & Relationship Management
- Act as the point of contact for client inquiries, providing timely updates and thoughtful communication.
- Prepare onboarding documents, organize project binders, and facilitate seamless project execution.
Creative Marketing & Brand Storytelling
- Assist with social media content creation, planning, and newsletter support.
- Collaborate on storytelling initiatives and contribute to blog content that highlights the firms creative process and client success stories.
- Capture behind-the-scenes moments and contribute to blog content that aligns with the firms luxury brand.
NICE TO HAVE
- Proven work experience with Studio Designer system is a bonus.
WHAT YOU BRING TO THE TABLE
- 35 years of experience in office coordination or operations, preferably within a small business setting.
- Strong proficiency in Microsoft Office and Google Docs is essential, with working knowledge of QuickBooks.
- Familiarity with Planoly, Mailchimp, Showit, Studio Designer, or Canva is considered an asset.
- Exceptional written and verbal communication skills, with a high level of professionalism in business correspondence and proofreading.
- Proven experience managing proposals, contracts, or service agreements with precision and care.
- Highly organized and detail-oriented, with a natural problem-solving mindset and a passion for creating structure and efficiency in a fast-paced environment.
- Demonstrated ability to multitask, prioritize, and adapt to shifting needs with a strong sense of initiative and follow-through.
- Customer service experience with a client-first mindset and a warm, approachable communication style.
- Comfortable working with vendors, trades, and delivery teams to coordinate project milestones.
- Demonstrated professional discretion and a polished communication style when engaging with high-end clients.
- A valid BC Drivers License and access to a vehicle, with the ability to commute locally daily.
- A sincere passion for interior design and a desire to thrive in a creative, high-end boutique setting.
