The Opportunity
The Receptionist & Administrative Assistant supports day-to-day office operations and maintenance of the facilities while supporting various departments with administrative tasks.

Responsibilities

  • Greet and assist all office visitors with professionalism and a welcoming attitude.
  • Act as the primary point of contact for the office, managing the fob, alarm, and phone systems.
  • Ensure the office and basement spaces are consistently clean, organized, and well-maintained, including supply organization, daily dishwasher operation, and tidying of shared areas.
  • Maintain inventory of office supplies and manage weekly food and beverage orders within the approved budget.
  • Coordinate and schedule meetings, boardroom bookings, AV support, and catering needs.
  • Receive, distribute, and schedule all incoming and outgoing mail.
  • Support general office upkeep, including submitting and coordinating maintenance requests with the landlord.
  • Provide reception coverage for the House of Wilson office when needed.

Health & Safety / Security

  • Serve as a member of the Joint Health & Safety Committee, acting as both safety warden and primary first aid attendant.
  • Conduct quarterly workplace inspections and maintain OHS materials (e.g., board updates, contact lists, roll call lists).
  • Oversee building access and security, including new fob distribution.
  • Draft and distribute OHS meeting minutes.

Technology & Facilities Support

  • Perform daily checks on office technology and AV equipment, including printers and video conferencing tools.
  • Troubleshoot and resolve technical issues proactively or escalate when needed.
  • Support office construction and workspace reconfiguration projects.
  • Manage all office-related service and vendor relationships.

Communications & Internal Coordination

  • Draft and circulate internal announcements (e.g., building maintenance, housekeeping updates).
  • Provide administrative support to Low Tide Properties teams, including ad hoc tasks and tracking receipts for visa reconciliation.

Employee Experience & Social Engagement

  • Plan, coordinate, track the budget for monthly staff events (e.g., lunches, workouts, socials), and lead execution of social committee events.
  • Assist in organizing company-wide events and employee lunches, while managing the lunch lottery initiative and facilitating coffee chats with the Executive Team.

Onboarding & New Hire Experience

  • Oversee and coordinate the full onboarding experience to ensure new hires feel welcomed and well-supported from day one.
  • Send personalized welcome emails and collect essential documents, including tax forms, direct deposit details, and dietary preferences.
  • Partner with IT to arrange necessary technology setup, including phone configurations, system access, and workstation preparation.
  • Conduct engaging welcome presentations and building tours to familiarize new employees with the company environment and culture.
  • Assemble and distribute customized welcome packages.


Qualifications

  • 2+ years of experience in a receptionist and/or administrative role.
  • Proficiency with Microsoft Office Suite and ability to learn new technology.
  • Service-orientation, patience, and approachability.
  • Excellent time management and attention to detail.
  • Exceptional verbal and written communication skills.
  • Ability to proactively problem solve and respond to changing needs or priorities.
  • Maturity and strong work ethic with ability to maintain confidentiality.
  • A passion for organization and providing top quality administrative services.
