We are seeking an experienced and detail-oriented Administrative Services Coordinator to manage office operations and administrative support enhancing our client's administrative operations.

Key Responsibilities:

  • Greet and welcome visitors at the front desk in a professional and courteous manner; direct and announce guests appropriately upon arrival
  • Answer, screen, and forward incoming phone calls; relay messages accurately and promptly
  • Sort and distribute daily incoming mail
  • Prepare and process bank deposits
  • Coordinate mailings via standard postage and courier services
  • Manage calendars, including scheduling and updating meetings
  • Prepare boardroom for meetings, ensuring availability of network connections, beverages, and refreshments
  • Support office security by adhering to established safety procedures
  • Monitor, manage and purchase inventory of front office supplies
  • Set up and organize new client files
  • Maintain a tidy and organized reception area at all times
  • Perform general clerical tasks such as filing, scanning, photocopying, transcribing, and faxing when required

Qualification Requirement:

  • Bachelor's degree in Business Administration or related field
  • 3-5+ years of proven experience as an Administrative Services Coordinator or similar
  • Proficiency in Microsoft Office Suite with strong Excel skills
  • Strong communication skills, both written and verbal
  • Strong analytical, problem-solving, and organizational skills
