We are seeking an experienced and detail-oriented Administrative Services Coordinator to manage office operations and administrative support enhancing our client's administrative operations.
Key Responsibilities:
- Greet and welcome visitors at the front desk in a professional and courteous manner; direct and announce guests appropriately upon arrival
- Answer, screen, and forward incoming phone calls; relay messages accurately and promptly
- Sort and distribute daily incoming mail
- Prepare and process bank deposits
- Coordinate mailings via standard postage and courier services
- Manage calendars, including scheduling and updating meetings
- Prepare boardroom for meetings, ensuring availability of network connections, beverages, and refreshments
- Support office security by adhering to established safety procedures
- Monitor, manage and purchase inventory of front office supplies
- Set up and organize new client files
- Maintain a tidy and organized reception area at all times
- Perform general clerical tasks such as filing, scanning, photocopying, transcribing, and faxing when required
Qualification Requirement:
- Bachelor's degree in Business Administration or related field
- 3-5+ years of proven experience as an Administrative Services Coordinator or similar
- Proficiency in Microsoft Office Suite with strong Excel skills
- Strong communication skills, both written and verbal
- Strong analytical, problem-solving, and organizational skills
