Job Summary:
Title: Database and Platform Coordinator
Location: Hybrid; primarily remote, but with occasional travel to Toronto Provincial Office or a regional office as needed
Hours: 37.5 hours per week
Salary: $65,000 - $70,000/year

Position Summary:
The Database and Platform Specialist plays a critical role in ensuring the secure, efficient, and reliable maintenance of Autism Ontario's customer relationship management database. This position involves managing, maintaining, and optimizing these databases as well as various other databases while collaborating closely with internal teams, and external vendors to enhance, accuracy, functionality and security. The specialist will also provide cross-functional support across various platforms used by the organization.

Key Responsibilities
- Provide technical support and infrastructure management for the CRM database and associated platforms.
- Troubleshoot and resolve database-related issues and oversee system updates and enhancements.
- Monitor platform performance, set objectives, and report regularly to the IT and Systems Manager.
- Collaborate with the Communications team to support fundraising, awareness, and marketing campaigns, within the CRM.
- Ensure database compliance with data privacy regulations (e.g., PIPEDA, GDPR) and CRA guidelines, maintaining high standards for data integrity, security, and regulatory adherence.
- Develop and deploy queries, custom reporting, and dashboards to analyze data across service such departments but not limited to, navigation, events, fundraising, and education & training.
- Collaborate with IT and program leads to identify and address organizational needs and technical challenges.
- Conduct regular audits and implement best practices to maintain accurate and compliant data management.
- Oversee support with external payment processors for donation payment processing, including alternative payment methods and reconciliation procedures.
- Manage membership data and develop infrastructure to build a prospective donor pipeline.
- Maintain market segment stakeholder database for targeted marketing and outreach efforts.
- Provide insights through key fundraising metrics and ensure seamless integration between the CRM and the financial accounting system.
- Train and support staff in the use of CRM database systems (including but not limited to HubSpot, Civi-CRM, WordPress, etc.).
- Occasionally, support for critical events and programs may require working outside regular business hours or on weekends. Additionally, incident management may necessitate after-hours or weekend work until technical issues are fully resolved.
- Other duties as assigned.
Qualifications:
- Post secondary education or diploma in Database Management, Computer Science, Information Technology, or a related field.
- Strong expertise in CRM/database management, with experience in platforms such as Civi-CRM, HubSpot, WordPress, Zoho Desk, or Eventbrite.
- Proficiency in SQL, database queries, and data analytics to create reports and analyze trends.
- Solid understanding of data privacy regulations, CRA compliance, and best practices in data management.
- Ability to identify and implement process improvements that align with organizational goals.
- Strong collaboration and communication skills to work effectively across departments and with external partners.
- Experience in training and supporting staff in the use of relevant platforms and systems.
- Flexibility to adapt to changing organizational needs and emerging technologies.
- A proactive, problem-solving approach with a focus on continuous improvement and innovation.
- Demonstrated commitment to equity, inclusion, anti-racism, anti-Black racism, and anti-ableism.
- Bilingual proficiency (French/English) is an asset.
