Job Summary:
The Benefits Plan Administrator will be responsible for the comprehensive management and administration of the employee benefits program consisting of multiple divisions across Canada. In addition, responsibility will also extend to include a standalone Travel Insurance Program. This role requires an elevated level of diligence, strong organizational skills, and the ability to manage and coordinate various benefit plans across the collective member group. The successful candidate will ensure that all benefit plans are administered efficiently, accurately, and in compliance with legal and regulatory requirements.
Key Responsibilities:
Benefits Administration:
Manage the day-to-day operations of the benefit plans of the collective group including health, dental, vision, disability benefits (STD, LTD), and Life insurance.
Administer benefits for the collective group ensuring that each member's specific requirements and expectations are met or exceeded.
Manage the enrollment, termination, and changes of employee benefits for multiple members, ensuring accurate and timely processing.
Implement and manage risk management practices with the goal of managing claim costs.
Client Coordination:
  • Serve as the primary point of contact for members regarding their benefit plans, providing exceptional customer service and resolving any issues that arise.
  • Maintain strong relationships with participating members, understanding their unique needs, and ensuring their satisfaction with the benefit administration process.
  • Coordinate with client HR teams to ensure smooth integration and ongoing management of benefit plans. Monitor members' Quarterly claims experience and alert members with poor claims experience of the potential negative renewal impact.

Compliance and Reporting:
  • Ensure compliance with all federal, provincial, and local regulations related to employee benefits.
  • Stay informed about changes in laws and regulations that may impact member benefit plans and advise members accordingly.

Partnership Management:
  • Consult with external partners and insurance providers and TPA's to manage benefits and Travel benefits including negotiation of terms, renewals, and resolving any service issues.
  • Evaluate and recommend changes or enhancements to benefit plans to meet the evolving needs of individual members.

Employee Communication and Education:
  • Develop and deliver benefits education sessions and materials to ensure employees across multiple divisions understand their benefits options.
  • Respond to employee inquiries regarding benefits, eligibility, claims, and other related topics in a timely and professional manner.

Plan Design and Analysis:
  • Assist in the design and implementation of new benefits programs or changes to existing plans, tailored to meet the specific needs of each client.
  • Analyze benefits trends, cost impacts, and utilization data to provide strategic recommendations to clients.
  • Monitor and review plan performance and adjust as necessary to optimize client satisfaction and plan effectiveness.

Problem Resolution:
  • Investigate and resolve complex benefits issues, collaborating closely with clients, employees, and vendors to ensure satisfactory outcomes.
  • Function as a mediator in benefits disputes and work to resolve issues in a fair and equitable manner.

Qualifications:
  • Agents license, CEBS certification (Certified Employee Benefit Specialist).
  • Minimum of 5-10 years of experience in benefits administration, with experience managing benefits for multiple clients strongly preferred.
  • Comprehensive understanding of group benefits plans, including health, dental, vision, disability, life insurance, and retirement plans.
  • Strong knowledge of provincial and federal benefits-related laws and regulations.
  • Excellent organizational, analytical, and problem-solving skills.
  • Exceptional interpersonal and communication skills, with the ability to build and maintain positive client relationships.
  • Proficiency in benefits administration software and MS Office Suite.
  • Ability to manage multiple tasks and projects simultaneously.
  • Diligence and a commitment to delivering high-quality work.

Work Environment:
This position typically operates in an office environment. Occasional travel may be required to meet with clients or attend training sessions.
