Key Responsibilities1) Property Management & Tenant Relations:
- Administer the rent-geared-to-income (RGI) process for tenants, including income reviews, notifications, and calculations, to ensure compliance with the Housing Services Act.
- Handle tenant intake, including conducting background checks, preparing leases, and orienting new tenants to policies and procedures.
- Ensure timely rent collection, establish payment schedules, and manage arrears. Issue eviction notices (N1, N4, N5, N7, N8) when necessary.
- Serve as the primary point of contact for tenants, addressing concerns, inquiries, and requests in a timely and effective manner.
- Liaise with building services to ensure the property and units are properly maintained and issues are addressed promptly.
- Educate tenants on their responsibilities, including basic maintenance and property upkeep as per tenancy agreements.
2) Community Development & Conflict Resolution:
- Facilitate tenant involvement in building management by promoting community-building programs, tenant participation, and social engagement initiatives.
- Mediate and resolve tenant conflicts, ensuring disputes are addressed in accordance with Reena's policies and legal obligations, including the Residential Tenancies Act and the Ontario Human Rights Code.
- Develop community policies, structures, and forums to address tenants' issues and concerns, ensuring alignment with Reena's overall community development goals.
- Support tenants facing potential eviction by providing regular follow-up, case conferences, and connecting tenants to support services.
3) Administrative & Reporting Responsibilities:
- Maintain accurate and up-to-date tenant records, including rent payments, tenant communications, and maintenance requests.
- Prepare and submit regular reports to the Property Manager and other senior management staff, covering operational performance, tenant satisfaction, and maintenance needs.
- Ensure all administrative tasks, such as lease renewals, eviction notices, and tenant documentation, are completed in a timely and accurate manner.
4) Health and Safety
- Compliance with health & safety requirements
- Complies with the legislative, regulatory and internal responsibilities as set forth in the Occupational Health & Safety Act, including health & safety, Workplace Hazardous Materials Information System (‘WHMIS'), workplace violence, Material Safety Data Sheets (‘MSDS')
- Complies with hand hygiene, body substance precautions and infection control guidelines
- Educate tenants and staff on safety protocols, emergency procedures, and risk management.
Skills, Knowledge and ExpertiseQualifications:
- 2-3 years of experience in property management, tenant services, or social services, with a focus on tenant relations and housing support.
- Solid understanding of the Residential Tenancies Act, Housing Services Act, Ontario Human Rights Code, and related legislation.
- Experience in crisis management, conflict resolution, and working with vulnerable populations, including individuals with mental health challenges, trauma histories, or those experiencing homelessness or addiction.
- Understanding of the Landlord and Tenant Board procedures and applications
- Experience in subsidized housing, affordable housing, or non-profit housing environments is preferred.
- 2 Years of Diploma in Social Work, Property Management, Business Administration, Community Services or a related field.
- Excellent communication, negotiation, and conflict resolution skills.
- Proven ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment.
- Proficiency with property management software and Microsoft Office Suite.
- Ability to foster positive relationships with tenants, staff, and external partners.
- Strong organizational and problem-solving skills.
- Flexibility to work evenings or weekends as required.
- Direct contact with tenants, staff, and external contractors.
